JOB SUMMARY
ESABA Houston is currently seeking an office clerk to join our team. As an office clerk, your primary responsibility will be to provide administrative support to our clinic staff and ensure the smooth operation of our office. Your duties will include managing incoming and outgoing correspondence, scheduling appointments, maintaining patient records, and coordinating with other departments within the clinic. The ideal candidate for this position should have excellent organizational and communication skills, strong attention to detail, and the ability to multitask effectively. Additionally, the office clerk is expected to handle sensitive information confidentially. Previous experience in a similar role is preferred but not required. Supervisor Responsibilities
Duties/Responsibilities
The office clerk plays a vital role in ensuring the smooth functioning of the office. Some of the main job duties of the office clerk include:
o Managing and organizing the daily schedule of therapy appointments.
o Preparing the weekly clinic cleaning schedule.
o Aid in maintaining and scheduling of supervisor(s) meetings and treatment plan due dates.
o Assist patients with re-scheduling appointments and other scheduling issues.
- Medical records management (paper and electronic).
o Update patient records.
o Ensuring client sign-in/sign-out (SISO) times are updated on paper and electronically in ProCare.
o Maintain session note tracking to ensure all session notes are accurately recorded and entered into the system (Catalyst)
o Assist with the creation, replenishment and maintenance of adequate stimuli.
o Filing and maintaining documentation including, but not limited to:
§ Client binders.
§ Past documentation/records filed into file cabinets.
§ Ensuring documents are filed by name and date properly.
o Create an inventory list of clinic items and quantities.
o Maintain inventory list on a regular basis.
o Inspect the level of supplies and input purchase requests when items are nearing shortages.
o Report to upper management on stock levels, issues etc.

o Assist with cleaning of common areas (i.e., hall, staff area, kitchen, bathroom)
o Assist with decluttering cabinets.
o Maintain weekly cleaning schedule.
- Assist with distributing client snacks and lunches.
o Organize tables/chairs in the common area.
o Heat/warm up and distribute client snacks and lunch.
- Mail and Messages (paper and electronic)
o Sort incoming mail and deliver to appropriate persons.
o Prepare outgoing mail as needed.
o Prepare and distribute patient information packets for onboarding.
o Answer phone calls and respond to inquiries.
- Performs other related duties as assigned.
Qualifications:
EDUCATION / EXPERIENCE REQUIREMENTS
- High school graduate
- 1 year of clerical work experience (preferred)
PHYSICAL REQUIREMENTS
- Prolonged periods sitting at a desk and working on a computer or tablet.
- Must be able to lift up to 15lbs at times.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED
- Demonstrates the skills and competencies necessary to safely perform the assigned job, determined through on-going skills, competency assessments, and performance evaluations.
- Sufficient proficiency in speaking, reading, and writing the English language necessary to perform the essential functions of this job, especially regarding activities impacting patient or employee safety or security.

- Ability to work independently; demonstrates sound judgment and executes above average clinical skills.
