Description: The role of a scheduler, an assistant in client services, is to perform operations and workflow for scheduling and staffing sessions for the implementation of CABA services with clients. The scheduler is responsible for effective case scheduling and related staff/client communication, maintaining employee and client files, and for completing various administrative and operational duties to support scheduling, the client services department, and other CABA departments as needed.

- Excellent time management skills and ability to function effectively in a fast-paced, dynamic, and stressful environment
- Ability to execute active listening and problem-solving skills to provide exceptional customer service
- Will require flexibility with hours, available to attend to after-hours callouts, scheduling emergencies and on-call weekend rotation as we provide services 7 days a week
DUTIES:
- Utilize practice management software to schedule sessions for the delivery of CABA services to clients
- Create/update schedules and update NPA platform to match the authorization information on file
- Effectively communicate information about scheduling and related topics between CABA colleague(s), caregivers, client families, and/or other relevant parties
- Coordinate a team approach with BCBA®s and direct staff
- Problem solve situations, other solutions and input to the clinical team
- NPA daily changes/updates with weekends included
- Organize and maintain appropriate documentation and protocols related to the appropriate certifications/credentials/requirements of staff as related to implementing ABA services with clients
- Follow designated SOP for TOR, staff cancellation process
- Time off Request Tracking
- Ensure that all scheduled sessions adhere to CABA policies and requirements of funding sources and third-party stakeholders regarding appropriate staff credentials/certifications/qualifications and ratios
- Accurately identity and correct problems related to scheduling of services
- Oversee and perform various clerical and administrative tasks related to scheduling and associated issues that require initiative and independent judgement
- Assist with the production and delivery of on-going reports related to scheduling and fulfillment of scheduled services
- Utilization of authorized hours
- Weekly employee hours
- Rendering of services
- Additional reporting as assigned by management
- Respond to day to day operational requirements in a professional and timely manner
- Prioritize activities and multi-task to meet deadlines
- Complete additional tasks assigned at the discretion of CABA
