Principle Function: The Administratvie Asistant will be responsible for maintaining the church office during scheduled office hours. The Administratvie Asistant will also maintain the church financial records. The Administratvie Asistant is supervised by the Pastor, but also reports to the treasurer, assistant treasurer and Personnel Chairperson.
Qualifications for the Position: Spiritual maturity. Perform duties and responsibilities in a manner to glorify Christ and further the mission and ministry purposes of Southside Baptist Church. Creative as well as high energy. Team player is a necessity as you will be working with many different groups of people. Effectively organize and prioritize daily, weekly and monthly tasks. Previous secretarial experience is encouraged, but not required. Possess attention to detail and problem solving skills.
Requirements of the Position:
- Must dress appropriately for a Church Support Staff member.
- Maintain the highest level of confidentiality.
- Prepare and manage bank deposits for all church accounts. Take deposits to the bank each Monday.
- Maintain the church office, phone and church member needs during scheduled office hours.
- Post offerings in Realm/ACS weekly to individual accounts; file envelopes.
- Manage and maintain all bills and payroll.
- Post all transactions and disbursements to all accounts.
- Prepare checks for all weekly bills and payroll and have checks signed by two authorized signers (Sometimes requires going to those people for signatures).
- Ensure that the Treasurer, Assistant Treasurer and Pastor are aware of any financial issues.
- Balance/ reconcile the checkbook daily and monthly online with the bank; update accounts daily.
- Prepare financial reports and agendas for monthly Stewardship Meeting, Have signed by Treasurer and committee Secretary. File reports after the meeting.
- Prepare monthly, quarterly and annual budget financial reports for the Stewardship Committee and for Business Meetings.
- Maintain all IRS FICA reports and make online FICA deposits monthly.
- Prepare current and prior year budget records on all accounts, for annual budget Stewardship Committee meeting.
- Track budgeted expenses for all ministries and prepare check requests, making sure all check requests have two signatures from the proper committee members before check is generated. Committees can spend up to $100 from the budget for that committee without prior approval from the Stewardship committee . Anything over $100 from the budget must have prior Stewardship committee approval.
- Manage all Passwords, ACS financial reports and backup all information daily.
- Mange Realm and ACS.
- Maintain bank records. Records may be destroyed every 7 years as per IRS rules and regulations.
- Manage the church calendar and prepare a monthly calendar to be inserted in the church bulletin the first Sunday of each month.
- Collaborate with Pastor to create and print weekly church bulletins.
- Schedule appointments as necessary, for the Pastor.
- Attend monthly Stewardship and Church Council meetings.
