VNA of Albany is seeking an experienced HR Assistant to join our HR team!
Responsibilities include:
- Administers all employee and volunteer benefit programs including but not limited to Health, Dental, Vision, 403(b) disability, group term life insurance, executive benefits 457(b), tuition reimbursement, 403 (b) participant notifications, worker's compensation, other voluntary benefits.
- Provides in-depth benefit presentation for all new hires during the onboarding process. Distributes enrollment materials and determines eligibility.
- Assists employees regarding benefits issues and plan changes. Responds to benefits inquiries on plan provisions, benefits enrollments, and status changes.
- Assists with the credentialing process for hospital home care coordinators.
- Updates and Maintains HRIS self service portal as needed.
- Tracks and maintains employee eligibility and changes for 403 (b) Plan. Coordinates with payroll department for 403 (b) changes for employees, timely notification of eligibility.
- Works with HR benefits vendors and brokers for escalated support needs, claims administrations, COBRA, 403 (b) administration, HRIS(ADP) data integrity.
- Conducts special 403 (b) education sessions, wellness events.
- Maintains the integrity and confidentiality of human resource files, records and HRIS.
- Responsible for processing and maintaining status changes and terminations in HRIS.
- Effectively interprets FMLA, PFL, ADA implications as they relate to leaves of absences /disabilities. Processes and administers all leave of absences requests and disability paperwork.
- Coordinates CPR training with outside vendor for all clinical staff
- Properly records, tracks, and administer the steps needed to comply with COBRA.
- Collaborates with payroll on annual reporting for ACA, 1099
- Responsible for tracking employee hours for Affordable Care Act (ACA) purposes.
- Reconciles benefits and other HR statements /Invoices.
- Organizes and coordinates the orientation of new employees. Prepares all necessary documentation, sets up personnel file, creates ID badges, and prepares orientation materials.
- Processes background checks on new employees including but limited to Criminal History Background Check, DMV, Medicare and Credit Record Check.
- Processes monthly Medicare Exclusion screening for all employees.
- Maintains accurate and up-to-date human resource files, records, and documentation.
- Performs monthly audits of HR files and records to ensure that all required documents are collected and filed appropriately.
- Prepares departmental monthly, quarterly and yearly reports, (i.e.; telephone tree, address list, evaluations, extension and seniority list, anniversary reports, birthday reports.)
- Notifies bargaining union regarding any employee changes including but not limited to new hires, terminations, leave of absences and status changes.
- Facilitates and coordinates the open enrollment and annual benefits fair.
- Maintains knowledge of all plan documents in order to respond to employee inquiries.
- Responsible for the HR department in the absence of the Vice President of HR.
- Maintains personnel database and tracks agency compliance with personnel requirements including but not limited to verification of professional licenses, tracking of Employee Physicals, PPD, TB Screening, Immunizations etc.
- Monitors and processes employee performance appraisal.
- Processes required paperwork for employee transfers, changes in job classification, salary increases, and other related employment matters.
- Serves as a backup to the Recruiter.
- Responds to employment verification and surveys as needed
- Plans and host annual employee recognition event and coordinates recognition gifts for employee life events.
- Processes quarterly and annual attendance award for employees.
- Conducts Exit Interviews for exiting employees.
- Maintains Human Resource Generalist procedure manual.
- Additional HR-related duties and responsibilities as assigned by VP of Human Resources.
Minimum Requirements:
- 2 plus years human resources experience preferably in a healthcare system
- Experience with sourcing, branding, applicant tracking systems (ATS) etc.
Preferred Requirements:
- Associate degree
- Minimum of two years of experience in healthcare recruitment & human resources.
Job Type: Full-time/Temporary
This is a temporary HR Position, with a need to be filled until late October possibly early November.
