General Job Description – For the Customer Service Specialist, we are seeking an individual that has a variety of soft skills and technical knowledge. In this role, the person will be responsible for the day-to-day operations, which includes working directly with internal and external customers. The specialist will be working with our transport management system (TMS) to arrange customer shipments, manage carrier selections, facilitate tracking & tracing, audit carrier invoices, file claims with the carriers, pull reports for our office, and dispute any discrepancies with carrier invoices when needed. Largely, we are looking for someone who has lots of customer service experience in the transportation industry. This person will report to the owner and the co-owner of the company. Additionally, they must strive to always be helping customers and providing value. Overall, this position presents a lot of opportunity for development and the person must be willing to improve their skills and responsibilities as the company grows.
Responsibilities:
- Prioritize customer service with all of our internal and external customers (including vendors)
- Respond promptly within all communication channels, even if it is just acknowledging the request
- Accurately complete customer invoices and enter payables
- Identify and resolve discrepancies with carrier invoices
- Communicate closely with our dispatchers and other office staff, providing daily recaps to owners.
- Strategically work with owners to improve efficiency and grow the company.
Requirements:
- Proven background in a customer service position
- Maintains punctuality and reliable attendance
- Functional knowledge of transportation, preferably in the LTL sector
- Ability to multitask and manage priorities
- Strong organizational skills, maintains a clean environment, and implements efficient processes
- Takes direction from the owners and aligns with their goals
- Go-getter with a can-do attitude, never says "this is not part of my job"
- Addresses customer concerns professionally and concisely, both verbally and in writing, maintaining professionalism at all times
- Positive attitude, adaptable to challenges in the trucking industry
- Diligent in completing projects on time and meeting deadlines
- Proficient with Microsoft Excel, Microsoft Word, Google Sheets, and Google Docs; able to analyze data and use formulas
- Ability to train others as we grow and hire more positions
- Excellent time management, consistently meeting deadlines for customers
This is a full-time position. The standard hours of work are Monday through Friday, with an 8-hour shift from 6:30 a.m. to 5:00 p.m., depending on customer and company needs. Overtime may be required as determined by management. Compensation will be hourly and based on experience.
