Job Description Summary and Objectives:
In search of a highly motivated and professional individual who can provide operational and technical support to our stores and corporate team. A qualified candidate must have related office and customer service experience as well as be fluent in English and Spanish.
As part of the Support Services team, you will be one of the first point of contact for our stores. The responsibilities include offering operational support across the organization and managing a range of services with vendors. You will also coordinate scheduling meetings, trainings, and inventory counts. The ideal candidate will be able to multitask and work in a fast-paced environment with excellent communication skills and customer service.
Primary Duties and Responsibilities:
· Learn and understand the company structure and different software programs.
· Provide operational support for company programs to store and corporate users.
· Create training user manuals and videos of company programs and applications.
· Manage recurrent services at stores to remain in compliance with the City and other entities.
· Manage and maintain an updated control for services using Excel spreadsheets.
· File service records provided by stores and/or vendors.
· Follow-up on pending and/or urgent services.
· Manage service invoices, receive, prepare, or follow up with pending rent/rebate payments.
· Create, format, edit, and analyze different reports for presentation purposes.
· Provide great customer service to the stores and providers via phone calls and emails.
· Coordinate and schedule meetings for training purposes.
· Schedule meetings with vendors to discuss service terms and conditions.
· Visit stores and provide functionality support.
Requirements, Qualifications and Other Personal Characteristics:
· High School degree or higher with a minimum of 1-2 year of work experience.
· Multitasking and stress management skills are essential for this position.
· Intermediate knowledge of Microsoft Office: Excel, Word, PowerPoint, and Outlook Mail.
· Professional attitude and appearance.
· Detail oriented with organizational and communication skills.
· Other tasks as assigned by Supervisor.
· Able to work independently with minimum supervision.
· Strong sense of responsibility and respect.
· Team player and adaptable to a fast-paced environment.
· Bilingual (English/Spanish) fluent (speak, read, write).
Work Environment:
No or very limited physical effort required. Work is performed in a typical interior/office work environment. Full-time position. Monday – Friday, 8-hour shift.
