Job Summary:
We are seeking an experienced Financial Planning Administrative Assistant to provide high-level support to our financial planning team and ensure the smooth operation of our office. The ideal candidate will be highly organized, detail-oriented, and able to handle a variety of financial planning and marketing-related tasks efficiently.
Responsibilities:
- Manage financial planners' calendars and schedule client meetings
- Screen and direct phone calls, distribute correspondence, and handle client inquiries
- Prepare and organize client files and financial documents
- Assist in preparing financial plans, reports, and presentations for client meetings
- Coordinate and handle travel arrangements, including detailed itineraries for financial planners
- Take minutes during client and team meetings, ensuring accuracy and timely distribution
- Conduct research on financial products, market trends, and client-specific information
- Assist in organizing financial seminars, webinars, and client events
- Maintain electronic and paper records, ensuring information is organized and easily accessible
- Assist in onboarding new clients, including gathering necessary documents and information
- Monitor and manage office supplies, ensuring the office runs smoothly
- Create, proofread, and publish blog posts, newsletters, and other content for the company's website and social media channels
- Collaborate with the marketing team to develop and implement content marketing strategies
- Track and analyze the performance of marketing campaigns and report on key metrics
- Assist in creating marketing materials such as brochures, flyers, and email campaigns
- Manage and update the company's social media profiles, ensuring consistent and engaging content
Experience:
- Proven experience as an Administrative Assistant, preferably in a financial planning or wealth management setting
- Proficient in proofreading financial documents and marketing content, ensuring accuracy
- Excellent phone etiquette with strong communication and interpersonal skills
- Exceptional organizational skills with the ability to multitask and prioritize tasks
- Familiarity with financial planning software and CRM systems
- Proficiency in Microsoft Office Suite, Google Suite, and other office software applications
- Knowledge of basic financial concepts and terminology
- Strong administrative skills with attention to detail
- Experience in content creation, blog posting, and social media management
- Previous experience in a financial services environment is beneficial
