Administrative Support – Code/Parks & Recreation
Lower Pottsgrove Township, Montgomery County, PA is immediately seeking an organized, motivated, self-starting individual to be the main telephone and visitor receptionist and provide general clerical assistance to the Township Manager and Code Enforcement Director. Duties include scheduling meetings and appointments, typing, record keeping, filing and responding to inquiries and requests for information. This position also has the responsibility for making decisions regarding work routines, scheduling, handling of confidential information and proper responses to inquiries and requests. This work requires that the employee have a thorough knowledge of general office procedures, skillful communication skills and experience in administrative procedures. The ideal candidate shall be proficient in Microsoft Office products (Word, Excel, and Outlook) and the ability to quickly learn other software programs with ease. This position requires the mandatory attendance of monthly meetings which are scheduled in the evening outside of normal working hours, and some weekend work at park & recreation events, if needed.

DUTIES:
Greet visitors, answers questions, and give directions and information. Explains township rules, ordinances and regulations, forms and applications. Handles routine complaints or inquiries made by phone or in person. Be the first point of contact for in-person transactions
Receive & enter citizen complaints/requests
Responsible for assisting in the efficient operation of the Code Enforcement Department, through the performance of various administrative functions, including, but not limited to data entry, answering the phone, taking messages and maintaining filing system; composes correspondence and prepares reports relating to the Code Enforcement Department
Schedule inspections, documents and follows up on failed inspection to ensure resolution, close out final inspection and maintain permit tracker spreadsheet
Accept applications and fees for all plumbing, mechanical, electrical, building and zoning permits; distribute all land development plans submitted for review by professional consultants
Maintain records of the status of all permits and assist Code Enforcement Director with processing zoning applications
Scan and upload correspondences, documents etc. to the electronic filing system
Track Certificates of Occupancy and permits (building, plumbing, mechanical and electric etc.)
Assist the Township Manager with research for Right to Know Requests
Oversee planning and scheduling of recreation programs and special events.
Assist the Township Manager with capital construction projects at Township’s parks and open space parcels
Coordinate scheduling of groups and athletic leagues at park facilities
Staff liaison with Lower Pottsgrove Township Parks and Recreation Board and provide general technical assistance; require one monthly evening meeting and several weekend events throughout the year
Assist in maintaining the Township web site
Performing a variety of duties, often changing from one task to another of a different nature
QUALIFICATIONS:
High School Diploma or GED supplemented with three (3) years of administrative experience
Proficiency in Microsoft Office, Excel and Access and ability to learn other software applications as required/
Knowledge of standard office procedures and practices
ESSENTIAL FUNCTIONS:
Thoroughly learn and interpret the Township’s Code which includes the components of zoning, lighting, landscaping, signage, subdivisions and minor land development applications
Ability to work with difficult customers and able to communicate adequately
Skilled in working independently and following thru with assignments with minimal direction
Ability to perform research and convey technical information accurately
Ability to establish and maintain effective working relationships with the public, other employees, and Township officials
Ability to understand and follow detailed oral and written instructions
Perform a variety of duties, often changing from one task to another of a different nature
PHYSICAL REQUIREMENTS:
Ability to sit for a minimum of 4 up to 6 hours and move about the department and/or building for 2-4 hours a day
Ability to bend, stoop, squat, reach above shoulder level, kneel, lift, push and pull up to 10% of the day for filing and other office procedures
Ability to lift and carry from 10–35 pounds of materials up to 20% of the day for filing and other office procedures
Ability to use both the right and left hand for firm grasping repetitive actions and fine manipulation
SALARY RANGE:
$45,000-$55,000/annually
