Job Summary: The Hospice Scheduler plays a crucial role in coordinating staffing across multiple hospice locations to ensure safe and effective care delivery. This position is responsible for scheduling Case Managers, Team RNs, Hospice Aides (HHAs), Medical Social Workers (MSWs), and Chaplains in a manner that maintains continuity of care. The Scheduler also oversees the Weekend/Holiday Staff Schedule and the On-Call RN schedule, ensuring timely and appropriate staffing adjustments. Effective communication and collaboration with patients, caregivers, physicians, and internal teams are essential to this role.
Principal Responsibilities:
- Coordinate staffing schedules across multiple hospice locations to ensure clinical continuity and compliance with agency policies and regulatory guidelines.
- Optimize geographic team assignments and maintain full caseloads for staff while utilizing Per Diem resources as needed.
- Manage daily visit schedules for each discipline and ensure documentation completeness.
- Facilitate communication between field staff, office personnel, and external stakeholders regarding schedule changes and patient updates.
- Monitor and adjust On-Call RN schedules, prepare weekend assignments, and respond promptly to staffing requests and concerns.
- Collaborate with Directors of Patient Care Services to address scheduling challenges and ensure efficient operations.
- Generate and manage reports using the HCHB system and participate in quality improvement initiatives.
- Maintain fiscal responsibility by managing resources effectively and minimizing overtime costs.
Qualifications:
- Education: High School Diploma required; Associate’s degree in Office Management, Medical Records, Business, or related field preferred.
- Experience: Previous experience in home care scheduling, particularly in multiple locations, strongly preferred. Minimum of 2 years of office and computer work experience in a healthcare setting.
- Skills and Knowledge:
- Proficiency in medical terminology and understanding of hospice care practices.
- Advanced clerical and computer skills, including proficiency in Microsoft Word and Excel.
- Ability to manage multiple tasks with attention to detail and prioritize workload effectively.
- Strong communication skills, both verbal and written, with the ability to interact professionally with diverse stakeholders.
- Capacity to adapt to changing schedules and urgent staffing needs while maintaining composure.
- Commitment to maintaining patient confidentiality and adhering to ethical standards.
Physical Requirements:
- Ability to work in a mentally and physically demanding environment.
- Must have adequate transportation and be able to respond to emergency situations if needed.
