Overview:
We are seeking a highly organized and detail-oriented Executive Assistant to provide operational support in a timely and confidential manner to the business owner and team to reach business goals. This position could be ideal for a parent, caretaker, grad student, artist or performer requiring flexible hours. Only candidates in Chicago or within 10 miles of downtown will be considered.
Responsibilities:
- Proactively manages calendars by anticipating needs, adjusting for conflicts, and ensuring all logistics (including materials, location, timing, etc.).
- Collaborates with appropriate individuals and external resources to manage administrative and logistical aspects of on-site and off-site client meetings and events.
- Manages account opening and transfer process and troubleshoots technical issues.
- Lead projects such as documenting workflows or training materials.
- Proof-reads and edits white papers and client-facing documents.
- Participates in business planning process.
- Updates and maintains contact databases.
Requirements:
- Bachelor's degree from a nationally recognized university in any major, liberal arts preferred.
- 2-10+ years working in an administrative/executive support role preferably in financial services.
- Experience in LPL ClientWorks, Constant Contact and RedTail preferred. Expertise in Microsoft Word, Excel, PowerPoint, and Outlook required. Experience in Adobe Creative Suite nice to have. Excellent math, verbal, and written communication skills a must.

- Ability to work independently and proactively identify opportunities for improvement.
