Summary:
Under general supervision and in accordance with established policies and procedures, provides clerical support to the Asset Recovery Department. Performs advanced and complicated clerical duties requiring considerable judgment independent analysis and detailed knowledge of departmental procedures. Possesses a thorough knowledge of policies and criteria concerning all job-related responsibilities.
Essential Duties and Responsibilities:
- Ensure that all documentation and file maintenance is accurate and complete.
- Generate, monitor, report and update statistical information to Director of Consumer Loans & Asset Recovery regarding collection activities.
- Assure all notifications are accurate and sent in a timely manner (i.e. delinquency notices and letters).
- Responsible for checking and verifying non-routine bills, schedules, receipts, invoices and other documents; maintaining complicated records requiring classification and compilation of varied information.
- Performs complicated reconciliation and control functions and complies special studies where analysis of complicated data is required.
- Follow up and maintain accurate accounting of all payments received on charge-off loans or accounts in the hands of collection agencies.
- Follow up and maintain all data regarding member claims for disability, GAP, and warranties.
- Assist members with disputes regarding negative reporting of credit obligations.
- Process service disconnection for Visa debit and credit card when required.
- Records information about financial status of member and status of collection efforts in the appropriate records of the credit union.
- Receives payments and assures proper posting of amount paid to borrowers account when received from attorneys, courts, collections agencies, and other non-traditional payment methods.
- Make recommendations on collection procedural changes.
- Assists with the filing of Deeds of Trust on real estate pledged as collateral security: includes the initial recording, maintaining records of Deeds, and attending to the release of recordings
- Prepares mortgage loan packages, photocopies, mails and files
- Tracks, logs and files Homeowners Insurance policies
- Process demands for mortgage loan payoffs
- Responsible for the filing of lien instruments on motor vehicles pledged as collateral security. Duties include the initiation of the filing process, maintaining records of filings, disbursing checks to Department of Motor Vehicle, and attending to the renewal or release of filings
- Responsible for following DMV procedures for the purpose of tracking the titles. Duties include printing current month “New Loans this Period” report to track loans funded in prior month; printing each loan from Episys screen showing member number, name, description, VIN#, and when loan was funded; running DMV CVR Report for lien holder and registered owner information; and using a excel tracking file containing status of title.
- Responsible for timely release of titles using DMV reports
- Provides assistance in filing, inputting data, recording information, answering telephones, photocopying, faxing, and drafting letters
- Duties may vary or be reassigned from time to time by the Director of Consumer Lending & Asset Recovery
Education and/or Experience:
- High school diploma or equivalent experience.
- Minimum of one year DMV experience preferably in a financial institution.
- Or one year minimum Clerical experience, preferably in a financial institution.
Qualification Requirements:
- Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, fractions and decimals. Ability to compute rate, ratio and percentages.
- Ability to read and interpret documents such as loan notes, regulations in regards to collections, policy and procedure manuals
- Ability to draft reports, business correspondence and procedure manuals.
