Job Overview:
We are seeking a highly organized and detail-oriented Executive Assistant to support our executive team. The ideal candidate will provide administrative assistance and ensure smooth operations within the office and directly working with the team principle.
Duties:
- **Administrative Support:**
- Manage and organize executive schedules, appointments, and meetings.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Handle incoming and outgoing calls, emails, and mail.
- **Marketing and Social Media:**
- Assist in the creation and distribution of marketing materials and campaigns.
- Manage and update social media accounts and company website content.
- Coordinate open houses, property tours, and other promotional events.
- **Transaction Coordination:**
- Assist in the preparation of real estate documents, contracts, and agreements.
- Coordinate with clients, agents, and other parties involved in transactions.
- Track and ensure compliance with deadlines and requirements.
- **Client Relations:**
- Maintain and update client databases and records.
- Handle client inquiries and provide timely responses.
- Assist with client onboarding and follow-up communications.
- **Research and Analysis:**
- Conduct market research and compile data on properties, trends, and competitors.
- Prepare reports and presentations based on research findings.
- Monitor local real estate market conditions and provide updates.
- **Office Management:**
- Maintain office supplies and ensure the workspace is organized and efficient.
- Coordinate with vendors, service providers, and property managers.
- Oversee the maintenance of office equipment and technology.
- **Special Projects:**
- Assist with special projects and initiatives as directed by the executive.
- Provide support for team events, meetings, and training sessions.
- Handle confidential and sensitive information with discretion.
Requirements:
- Proven experience as an Executive Assistant or similar role
- Proficiency in Google Suite / Microsoft Office Suite
- Strong computer literacy
- Excellent organizational skills with the ability to prioritize tasks
- Knowledge of office management systems and procedures
- Familiarity with phone systems and phone etiquette
- Exceptional communication skills, both written and verbal
- Ability to handle confidential information with discretion
