Office Administrator
JOB DESCRIPTION
Office Administrator – Immediate opening for an office manager and project coordinator, working on team projects, full-time, for a compensation package of wage, benefits and contribution-based bonus. Position leads to a “Firm Administrator” practice management career in an accounting or legal field professional practice.
We are a firmly established tax and accounting practice, well known and respected by other accountants and attorneys, with most clients referred from our professional network. We’re renewing another 5-year lease in our safe, 30-year location in San Francisco’s Financial District. We all come in to the office daily; no remote work.
This important position works directly with the CPA Partner Owner of the practice and with the team of accountants who all have expertise in handling complex tax situations for our sophisticated domestic and international investor and business owner clients, who you will also interface with on a regular basis.
DAILY FOCUS
- Client Projects: Task tracking, producing Project Tracking Reports, using Excel database and Practice CS, a leading assignment & progress tracker for accounting firms; identify productivity issues and collaborate with Tax Seniors to mitigate team challenges and maintain efficiency.
- Staff Productivity: Measure billable revenue and produce weekly reports, using TimeSlips, our time tracking & billing software;
- Communicate with clients to gather their confidential information and to fulfill and deliver on client requests, using our secure cloud-based communication channel to protect client confidentiality;
- Mentor staff on our Employee Manual and situation-applicable Policies & Procedures, general onboarding, and QC monitoring;
- Support marketing and business development to originate new clients; manage marketing and networking tools like Inside View, search engines for prospect targeting, direct mail, Zoom, etc.;
- Online processing and electronic filing of Federal and State tax returns;
- Handle daily office routines, record keeping, filing systems, and tax return assembly workflow;
- Manage numerous Vendor relationships for proficient usage of software and equipment.
QUALIFICATIONS:
Well spoken English, with Microsoft Word writing, typing and email delivery skills a must, plus comfort and confidence speaking with people, another must. Relative college degree or several years of office/school/military administrative experience.
Experience in the above-mentioned software or equivalent, and QuickBooks experience would be a plus, with a desire to pick up some bookkeeping projects, a big plus!. We pay tuition reimbursement for relevant educational courses…. Your time, on our dime.
BENEFITS: $30 to $35 per hour, $$62,000 to $73,000 annual. Standard Sick Leave, Holidays, Health//Dental/Vision, plus a Retirement/401(k) Plan. Overtime potential, and we believe in bonuses for performance.
