The Operations Support Specialist is primarily responsible for performing and monitoring the fundamental administrative tasks within the Employee Care department, other departments will be supported as needed. The Employee Care department is the frontline customer service team for HR, Benefit and HRIS related inquiries from clients and worksite employees. Providing exceptional service to all PEO clients, worksite employees, and internal employees is a guiding principle of Employer Flexible.
Duties & Responsibilities
Benefits Administration: Provides day-to-day operational support for employee benefit administration. This includes processing enrollments, terminations, and changes to employee benefits within various benefit carrier sites.
Enrollment Data Maintenance: Maintains accurate employee enrollment data within company HRIS and Payroll systems by processing requests received through company CRM or as needed determined by reporting.
Vendor Liaison: Works with insurance plan providers and vendors to ensure employee data is enrolled correctly. Liaison for resolving employee coverage issues and exceptions with insurance providers.
Revenue Assurance: Confirms all premiums are collected accurately when processing enrollments, terminations, and changes to employee benefits. When applicable, calculates missed premium amounts and provides to the Payroll team.
Record Keeping: Ensures relevant documentation regarding employee benefit coverage is always saved and up to date in company CRM. Documents client, work site employee and vendor interactions in company CRM.
Project Support: Collaborates ondepartmental projects related to process automation, HRIS enhancements, EDI file feeds and other benefit-related reporting.
Benefit Knowledge: Ensures all enrollment, change, and termination requests are compliant with the set laws and regulations.
EDI Back-up: Serves as a back-up resource to the EDI Specialist as needed. This entails completing discrepancy reports provided by the benefit carriers and processing any manual EDI file submissions.
Customer Service: Speaks directly with clients or worksite employees when needed. While this role is primarily back-office support, we expect every team member to be able to engage professionally with our customers.
Required Experience
Associate’s degree or commensurate experience, PEO experience preferred
Understanding of benefit plans and employee benefit eligibility
Strong analytical, problem solving, and people skills
Ability to prioritize tasks and to delegate them when appropriate
Technically savvy and able to grasp new systems efficiently
Self-motivated to continually adapt and learn
Ability to communicate effectively and professionally
Effectively communicate insights from a dataset
