Here are a few of the daily responsibilities of a Executive Services Director:
- Serves as secretary to the Executive Director. Screens persons requesting to see the Executive Director and schedules appointments as necessary. Work to maintain and ensure confidentiality of the Executive Office and front desk.
- Sorts and routes Executive Director mail. Answers routine mail and returns telephone calls.
- Prepares information packets for monthly Board of Directors meetings. Records minutes of Board meetings and distributes a notice and minutes of all Board members ten days prior to the next meeting. Types and distributes meeting notices, minutes, and statistical information as needed.
- Supervises the ordering of all office supplies, paper supplied, copy machine supplies, printed forms etc.
- Oversees the maintenance of various master lists and systems, resident listings, resident directories, resident away lists, etc.
- Oversees the housekeeping and laundry department.
- Assists resident and families with solving problems and/or issues as needed.
- Supervises and schedules front desk personnel. Assures the opening and closing of the receptionist desk and proper security of all files, keys and equipment in the office. Relieved front desk as needed. Performs annual staff reviews.
- Act as Network Administrator by overseeing the start up and shut down the LAN as needed and manage the changing of tapes on a scheduled basis. Monitor the LAN’s performance and report problems to the network engineer of manager. Coordinating IT system support visits.
- Prepared sympathy and refund letters to family upon death of resident.
- Participates in the research and preparation of a departmental budget, and operates department within the budget guidelines.
- Supervises the distribution of mail, bulletins, etc.
- Oversees the record keeping of payments and guest room reservations and transportation log.
- Creates and maintains a professional business like office atmosphere at the reception desk, lobby area and office area.
- Assists with welcoming visitors and/or residents, answers questions, handles inquiries and refers to proper department.
- Assists department heads and the resident council with typing.
- Attends meetings and takes minutes as requested.
- Maintains resident business files, updating, organizing, filing correspondence, documents and their pertinent forms, verifying completeness, storage and retrieval.
- Maintains work station and equipment in a safe and organized manner.
- Attends in-service training and education sessions, as assigned.
Performs specific work duties and responsibilities as assigned by Executive Director.
Here are a few of the qualifications we need you to have:
- Ability to communicate effectively in English. Able to perform simple mathematics and thorough knowledge and skill in word, excel and power point.
- High School graduate. Two years of supervisory and management experience.
- Ability to work under pressure, meet deadlines, is exacting performance and work well without direct supervision.
Must have excellent grammar, proof reading and must display a courteous, friendly and helpful attitude toward the public.
