Your Impact:
The Administrative Assistant has the primary responsibility for providing administrative support for the
Executive Director/Nursing Home Administrator (NHA) of Inglis House. Provides support to other members of the IH management team as approved by the Executive Director/NHA. This position represents Inglis House to consumers, the community and external partner organizations. This position partners with the Executive Assistant, as well as the Senior Team and their Administrative Assistants to enhance effectiveness by providing information management support. The Administrative Assistant will support the Executive Director/NHA with the development of systems, processes, and procedures to continually improve the quality, service and efficiency of Inglis House. This position will be results oriented to ensure targets are achieved and are consistent with Inglis Values and Standards of Excellence. To be successful, he/she must be mature, service oriented, an excellent team member and able to juggle multiple priorities with shifting agendas. It is essential that all duties be performed with the highest level of integrity, supports Inglis Values and Standards of Excellence and ensures compliance with regulatory agencies.
What You'll Do:

Completes a broad variety of administrative tasks for the Executive Director/NHA including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.

Plans, coordinates and ensures that schedules are followed and respected. Provides “gatekeeper" and "gateway" role, creating win-win situations for direct access to both leader’s time.

Researches, prioritizes, and follows up on incoming issues and concerns including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.

Provides a bridge for smooth communication among departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.

Works closely and effectively with the Executive Director/NHA to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping him/her updated.

Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects, some of which may have organizational impact.
- Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitates leader’s ability to effectively lead the Operations of Inglis House.
- Provides support to other members of the IH management team as approved by the Executive Director/NHA.

Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
- Ensures operation of equipment by completing preventative maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.

Partners with the Executive Assistant on the coordination of administrative and executive procedures to ensure compliance with Inglis standards.

Partners with the Executive Assistant and Administrative Support Team to assist with the development of best practices and skill sets.
What We're Looking For:

Bachelor’s degree preferred.

Two to three years of experience, preferably in a non-profit organization.

Experience and interest in internal communications

Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.
Pay Rate: $50k-$55k/ Annually
