Job Summary:
Directly responsible for the Front Desk, Reservations and Cliffs Exchange Club Departments. Maintains good working relationships with all other departments within the Company. Drive Revenue. Responsible and accountable for day to day operations including preparing and managing yearly operating budgets.
Essential Job Functions
1. Manage and train the above departments, within budget guidelines.
2. Establish, implement and enforce written policies and procedures as they relate to the operations of the various departments.
3. Foster a cooperative and harmonious working environment conducive to employee morale and productivity.
4. Initiate the annual budget process of the above departments by working closely with the department supervisors and others to submit to the Director of Finance.
5. Evaluate employee performances on an annual basis.
6. Conduct property inspections for House Rules compliance and follow-up as necessary.
7. Encourage supervisors and others to take greater personal responsibility for their areas, thereby improving their professional standing.
8. Delegate to and hold supervisors and others responsible for satisfactory performance of assignments.
9. Prepare weekly work schedules for the above departments in conjunction with department supervisors and others.
10. Perform timely processing of payroll for assigned staff in those departments.
11. Maintain adequate staffing levels.
12. Handle and resolve guest complaints as necessary.
13. Oversee monthly inventories of all recreational rental equipment and merchandise processed at the front desk.
14. Manage all direct billings for services in conjunction with the Accounting Department. Assist accounting with front desk audit reports and resolve discrepancies in a timely manner
15. Oversee the management of all room rental activity and income including daily rentals, rent plus program rentals and relocations to and from other properties. Forecast projected rental revenue and justify. Prepare monthly occupancy report for the G.M. for both Club and Resort.
16. Meet monthly with Lights On Digital and review marketing efforts to drive revenue.
17. Maintain the RCI gold crown and Interval International’s 5 Star rating as it pertains to resort hospitality.
18. Respond to postings on TripAdvisor and other social media comments and inquiries, including guest comments on Momentive.
19. Monitor the effective and efficient use of IT systems and make recommendations for improvement of these systems.
20. Attend weekly Mai Tai Owner and Guest Receptions. Attend Quarterly Board Meetings and produce Board Reports.
21. Cover (or schedule coverage) shifts for Front Desk, Reservations and Cliffs Exchange when necessary.
22. Walk the property checking for safety issues and attend monthly Safety Meetings.
23. Send out VIP arrivals to all Cliffs Club and Resort Owners to participate in this program.
24. Update front desk weekly handouts – work closely with Concierge Manager and Administrative Assistant for upcoming changes and notifications.
25. Perform all other tasks and projects as assigned by the General Manager.
Job Knowledge and Qualifications:
Must have at least 5 years or more Hotel/Resort Management experience. Bachelor’s degree in Hospitality/Hotel Resort Management, Business Administration, or related field is preferred. Knowledge of interval ownership preferred. Must have excellent organizational, oral and written communication skills, as well as public relations and customer relations skills. Strong financial, analytical and problem-solving skills are required as well as strong supervisory and leadership skills. Ability to read and give instructions effectively to employees and guests is essential. Good (corrective) vision and hearing necessary. Proficiency with computer essential. The job description may include other projects, duties and responsibilities as required. Job requires reading, writing, walking, standing, sitting, climbing, balancing, reaching, stooping, kneeling, crouching, crawling, and eye/hand/foot coordination. Typically works daytime Mondays to Fridays however if needed must be able to work evenings, holidays and weekends depending on operational need.
