OFFICE MANAGER – POSITION OPENING
ABOUT THE ASSOCIATION:
The Atlantic Coast National Electrical Contractors Association (ACC NECA) Chapter was chartered in 1997 following a merger between the Virginia and Carolinas Chapters of NECA. The Chapter is in strong financial position, has over thirty-member contractors, and covers nine (9) local unions, which include Local Union(s): #80 (Norfolk), #238 (Asheville), #342 (Greensboro), #379 (Charlotte) #495 (Wilmington), #553 (Raleigh/Durham), #666 (Richmond), #776 (Charleston), and #1340 (Newport News). The Association’s mission is to provide exceptional service and value to our members, to attract, develop and retain the best talent, and to collaborate and foster relationships with stakeholders for the advancement of the electrical construction industry.
POSITION OVERVIEW:
The Office Manager will report directly to the Executive Director and will assist in the overall organization and management of administrative duties within the Chapter. This includes but is not limited to responsibilities associated with administration and bookkeeping. This position provides a unique, fulfilling and rewarding opportunity for a self-motivated, highly organized, and detail-oriented individual. The position is a full- time salaried position with the option to work remotely occasionally. The position will require occasional travel a couple of times per year for Conferences/Conventions/Events put on by the Association.
RESPONSIBILITIES
- Greeting and assisting any office visitors.
- Answering office phones.
- Overseeing the management and disbursements relating to Board 63 (employee benefit board).
- Maintaining an organized filing system for company documents and records.
- Booking transportation and accommodation for Execs. and Board of Directors.
- Monitoring office supplies and ordering new stationery, furniture, appliances, and electronics as required.
- ACH & check deposits
- Manage accounts payable and accounts receivable.
- Responsible for biweekly office payroll.
- Bi-Monthly/Monthly/Quarterly tax filings.
- Preparation of Year-end documents: W2’s, mileage logs, Form 990’s etc.
- Work in conjunction with Auditors to gather information for the annual audits.
- Maintain and update all wage sheets and agreements.
- Work with Business Managers, JATC’s and Trust Funds by providing any information requested.
- Maintain list of chapter members, pay yearly dues, maintain email lists for notifications from our chapter and national association.
- Maintain and develop relations with vendors, premier partners, and other industry stakeholders.
- Maintain and generate various reports such as manhours, statistics, financials, etc.
- Work with IT company and employee benefit reporting company to state current on updates and developments.
- Updating and maintaining the association’s LinkedIn account and any other future social media.
- Planning and coordinating the Associations Annual General Membership meeting, holiday party, educational seminars, and any other events put on by the association.
QUALIFICATIONS & REQUIREMENTS
- Highly Proficient in Microsoft Office, specifically in Outlook, Word, PowerPoint, Teams and Excel required; ability to embrace and learn new technology as required.
- Willingness to travel overnight for events, meetings, conferences 1- 4 times per year.
- Self-starter who with an exceptional work ethic and is highly motivated.
- Team-oriented mindset.
- Strong problem-solving skills.
- Strong written and verbal communication skills to produce reports, assign tasks, accept instructions, and handle vendor contracts, among other tasks.
- Organization and the ability to multitask to complete a wide variety of tasks.
- Flexibility to adjust to new tasks, priorities, and fast paced office environment.
- Attention to detail to ensure tasks are completed thoroughly and correctly.
