SCOPE:
The Project Administrator supports the project manager and other members for carbon capture projects in North America. This role supports multiple administrative duties for project development and project executions. Supports project members to produce the best desired project results.
JOB RESPONSIBILITIES
- Support the Project Managers with administrative duties and processes.
- Schedule meetings and recording minutes, may include booking conference room, setting devices up, arranging catering, etc.
- Creating and updating workflows of project administrative processes.
- Prepare project transmittals and submit project documents to clients and business partners.
- Filing and archiving project relevant documentation.
- Maintaining the security of confidential documents. Ensuring the secure destruction and disposal of sensitive documents.
- Work with the Project Commercial Managers to support project account duties for vendor registration, processing/issuing invoices, maintaining invoice control list, monitoring receivable payments in a timely manner, keeping contracts/awards list up to date, listing up key meetings for monthly report, data entries.
- Review timesheets submitted by ESD project team members.
- Work with Project Cost Controllers to track budgets, expenses, and project expenditures. Prepare a report of actual spent and forecast project costs.
- Work with the Project Procurement Managers to order resources such as equipment and software required for projects.
- Keep the project calendar up to date.
- Act as the point of contact for internal project organizations including a team in Japan for administrative duties.
- Coordinate business meetings and schedules. Assist staff members and visitors with travel arrangements.
- Partner with ESD administrative assistants and assist with department activities and meetings.
- Perform other related duties as assigned.
QUALIFICATIONS & SKILLS
- Education Requirement: Associate’s degree is required. Bachelor's degree preferred or equivalent combination of education and experience.
- Experience: At least 2 years of experience in project coordination or similar roles.
- Any special skills/training/certifications
- Strong computer skills and proficiency with Microsoft Office applications, such as Outlook and Excel, with intermediate to advanced spreadsheet capabilities.
- Excellent verbal and written communication skills.
- Outstanding time management and organizational skills.
- Great attention to detail

- Bilingual (English/Japanese)
- Experience in the following industries: engineering, power, oil & gas, petrochemical
WORKING CONDITIONS:
- Travel: 10%
- Weekend/late night work if applicable: Evening and weekend work supporting travel arrangements for international project team members may be required.
- Lifting/physical requirements: Regularly required to sit for long period, stand, walk, talk and/or hear. Frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds
