Job Summary:
The Administrative Specialist will interface with fellow team members including Project Managers, Cost Control, and Accounting Supervisor in order to support the administrative and accounting functions within the Critical Facilities division. Project cost compilation and preliminary analysis are the primary responsibility for this entry-level position and are completed utilizing our accounting software and Microsoft Office products. This role also manages out-of-state taxes and registrations, subcontractor paperwork distribution, and vendor invoice processing. These functions are mainly data- entry based. Financial responsibility increases with tenure.
Duties & Responsibilities:
- Compile project cost details utilizing accounting software
- Create invoice package in PDF
- Subcontract administration including management of subcontract paperwork, invoices, and payments
- Create project cost guidelines
- Complete customer prequalification applications
- Prepare and file use tax returns in multiple states
- Perform monthly job cost reviews
- Update and maintain master job cost and billing documents
- Process inter-company cost transfers
- Subcontractor and supplier lien release administration
- Jobsite insurance enrollment and maintenance

Physical Location:
This position requires a presence in the Renton office. Extensive use of computers and IT peripherals are required for the majority of the time while in the office.
