Position Summary
The primary duties of this role include organizing and coordinating office procedures, operations, travel arrangements, and resources to ensure efficiency and effectiveness. The position requires strong organizational skills, excellent communication, and the ability to manage multiple tasks simultaneously.
Position Responsibilities
- Greet visitors and callers, handle their inquiries, and direct them to the appropriate personnel
- Serve as the receptionist and primary contact for visitors to the Houston Facility
- Arrange conference rooms and conference calls
- Organize and lead company events at the Houston facility
- Support inbound and outbound mail and small packages
- Identify, design and implement approved office procedures and policies
- Analyze, monitor and maintain office supplies inventory
- Review and approve office supply requisition and ordering
- Support all aspects of travel arrangements including flights, accommodations, and transportation for employees to ensure timely bookings and adherence to budgetary guidelines
- Liaise with other groups, agencies, and organizations needed to support PROENERGY events and/or initiatives
- Monitor visitor badges, sign-in sheet, and employee badge distribution
- Manage inventories for lunch/breakrooms
- Ready the lunch/break rooms each morning
- Provide administrative support to PROENERGY departments upon request
- Assist with facility emergencies by following specified protocols
- Keep office entrances presentable and safe. Report complaints or concerns
- Assist with ordering and fulfilling uniform needs for Houston personnel
- Operate with the highest level of confidentiality and discretion
Required Qualifications
- High School diploma or equivalent and 8+ years of equivalent office management experience in a mid-sized company; OR Associates Degree from an accredited university in business or other general management field and 4+ years of similar experience.
- Intermediate skills on Microsoft Office Suite including Outlook, Word, Excel and PowerPoint
- Proficient in the use of a variety of general office equipment and skilled at typing at a speed necessary for successful job performance
- Excellent communication skills, both verbal and written
- Ability to establish and maintain effective relationship with the public and co-workers
- Ability to respectfully respond to requests and inquiries from the general public in person and over the telephone
- Ability to analyze and resolve problems in a logical and effective manner
- Ability to simultaneously manage multiple job assignments
- Successful candidate will need to satisfactorily complete pre-employment drug screen and background check
