We are looking for a Front office coordinator/receptionist to manage our reception area. You will act as the ‘face’ of our company and ensure visitors receive a heartwarming welcome. You will coordinate all front desk activities, including calls, and guests’ services. As a Front office coordinator, you should combine a pleasant personality with a dynamic professional attitude. Our ideal candidate can deal efficiently with complaints and has a solid customer service approach. Ultimately, you should be able to ensure our front desk provides professional and friendly service to our customers.
Responsibilities
- Greet Patients
- Ensure timely and accurate customer service.
- Handle complaints and specific customers’ requests
- Answer a multi-line telephone system and handle calls appropriately
- Take and route messages appropriately
- Verify Insurance and obtain authorizations
- Monitor stock and order office supplies.
- Ensure proper mail distribution.
- Ensure company’s policies are met.
- Check-in patients and check-out patients
- Verify demographic and financial information, update information in the electronic medical record accordingly.
- Schedule appointments according to established guidelines·
- Collecting patient copay, co-insurance, balances, deductible and posting them·
- Facilitate new patient referrals. Check and obtain insurance authorizations if needed.
- Responsible for insurance verification/authorizations and eligibility on all new patients by using internet, web portals, or calling the insurance company and update in electronic medical record accordingly.
- Handling correspondence, scan appropriate forms and documentation into our electronic medical record system always Maintain patient confidentiality·
- Manage physician schedules.
- Work as a back office medical assistant preparing patients for physician exam - secondary responsibility
Skills
- Proven work experience as a Front desk medical receptionist and front office scheduling coordinator manager
- Hands on experience with office machines (e.g., fax machines and printers)
- Thorough knowledge of customer service
- Proficiency in English (oral and written)
- Solid knowledge of MS Office, particularly Excel and Word
- Excellent communication and people skills
- Good organizational and multitasking abilities
- Problem-solving skills
- High School diploma: additional certification is a plus.
