This team has one of the most important roles within the company – we literally keep the company moving and the buildings safe. In addition, we are engaged in projects that offer a better day to day experience for each of our employees.
Your Primary Responsibilities
We are currently seeking a Facilities Project Manager. The Facilities Project Manager is typically responsible for
- Overseeing and managing the planning, design, and implementation of projects across multiple work streams including existing buildings, new construction, retrofits, and acquisitions
- The Facilities Project Manager will be responsible for helping develop, identify, and implement a facilities management system/software
- The role will be tasked with hiring and managing additional facilities employees as needed.
- The role will work closely with our Human Resources team to identify opportunities for improvement for our employees relative to our various offices
- The role will work closely with Finance to oversee total project costs to ensure proper approvals and financial accountability
- The role will be tasked with managing the company wide fleet (Vehicle inspections, maintenance visits, etc). Currently less than 6 vehicles and no plan to increase.
- The role will be tasked with managing vendors related to cleaning and sanitation
- The role will be responsible for general handiwork (10-15% of time)
- The role will help the COO develop annual Capex budgets by identifying and prioritizing Capex needs
- The role will work closely with contractors across multiple trades to manage Capex projects from start to finish, with responsibility for meeting completion timelines and budget goals
- This position will require a combination of remote work, on-site meetings, progress assessments, contractor meetings, and final punch walks
- The Facilities Project Manager will support initiatives and focuses that ensure our offices are a safe and welcoming space for our employees and patients
- Provide data and cost analysis to support budget development and monthly P&L variance explanations
- Develop and maintain process best practices and compliance of work order authorization, RFP approval and payment to ensure invoices are properly reviewed and processed
- Manage general administrative duties to support productivity and progress updates and make ongoing recommendations for process improvement
- Assist with state licensing projects
- Assist with in-state inspections
- Travel between 10-15%

Required Qualifications
- The successful candidate should have a client-focused approach with experience in construction and/or facilities maintenance, with strong project management skills and a demonstrated ability to negotiate and build relationships with subcontractors
- At least five years of on-the-job experience in facilities or facilities project management
- Prior experience implementing a facilities management software system
- Prior leadership experience managing a team of two or more
- Is enthusiastic about problem solving, thinking outside the box, and exceeding expectations
- Experience and familiarity with building codes, regulations
- Has experience and knowledge in commercial construction and facilities
- Ability to complete general handiwork
- Experience sourcing and vetting potential contractors and vendors
- Can manage multiple simultaneous projects remotely
- Is an excellent communicator within the company and with outside contractors
- Working knowledge in general construction trades and pricing
- Experience in scope estimations for multi-trade projects
- Strong project management skills – coordination and communication, creative problem solving, time management, organization, and a client-focused service mentality
- Demonstrated ability to negotiate with technicians and subcontracts, while still maintaining an effective working relationship
- High level of business acumen - professional business writing and communication skills, flexible and adaptable to change, and maintains an entrepreneurial mindset
- Excellent PC skills (Excel, Word, Gmail, Google Sheets, facilities Software experience)
- Strong verbal and written communication skills, required

Salary Range: $80,000 - $95,000
