Job Summary:
The Chief Administrative Officer is responsible for assisting the needs of the Executive Officer vision and mission and directing the operations needs of the organization. This role is to organize and execute the needs and projects led by the CEO to the administrative staff. The chief administrative officer (CAO) is a senior executive, tasked with overseeing the day-to-day administrative and operational functions of a business. The ideal candidate is highly self-motivated, professional, and capable of managing their workload by prioritizing tasks in a fast-paced corporate environment.
Responsibilities:
- Reports directly to the chief executive officer (CEO) and is considered to be second in the chain of command, providing leadership and strategic direction for the administrative functions of the organization.
- Handles a company's internal operative affairs, while the CEO functions as the public face of the company.
- Oversees departments such as human resources, marketing, public relations, administration and technology other management functions.
- Ensures these teams operate efficiently and align with the company’s goals.
- Manages administrative projects, ensuring they are executed effectively.
- Coordinates cross-departmental initiatives that involve administrative functions.
- Identifies and prioritizes administrative needs to enhance organizational efficiency.
- Allocates resources and sets priorities for administrative projects and tasks.
- Implements policies and procedures to streamline administrative operations.
- Focuses on improving workflow and productivity within administrative departments.
- Learn what is needed from the CEO and act on his behalf in administration.
- Capable of strong analytical, managerial, communication, and leadership skills.
- Maintain Executives’ calendar, schedule meetings by coordinating with the Executive’s schedule and the schedule of other needed participants of any upcoming meetings
- Perform additional assignments per Executives’ direction
- Organize and participate meetings as required on behalf of the all company meetings.
Requirements:
- Bachelor’s Degree in a related field, Master’s Degree is preferred in business, communication, logistics, or related field
- Current or formal experience successfully leading large teams (100+/-) in a large or medium size organizations required.
- Capable of independent thought, analysis, and problem solving skills, including delivery of same in written or oral presentation
- Excellent computer skills and knowledge of Microsoft, Adobe, Zoom, AIA Contract Documents, InDesign preferred
- Strong leadership abilities to manage and motivate administrative teams.
- Capability to develop and implement administrative strategies that support organizational goals.
- In-depth knowledge of administrative functions and best practices.
- Be able to demonstrate results in measurable KPI’s
- Effective problem-solving skills to address administrative challenges and improve efficiency.
- Excellent communication skills to interact with executive leadership, administrative staff, and other departments.
- Strong organizational and project management skills to oversee multiple administrative functions and initiatives
- Excellent written and oral communication skills required, i.e. researching information and drafting professional correspondence
