Administrative Assistant/Receptionist
The Dog Ranch Resort, lower Alabama’s premier dog boarding, daycare, grooming, and training business is searching for select candidates to assist us with growing the business. Candidates are responsible for general care and maintenance of the entry and foyer, as well as being the initial contact for clients, and assisting clients and their dogs.
PURPOSE OF THE POSITION
This position provides customer service and reception, administrative, clerical and office support with a high degree of accuracy, responsiveness, and enthusiasm. This is a fast-paced job environment where accuracy in communication, attention to detail, and teamwork are key.
PRIMARY RESPONSIBILITIES
- Happily greeting dogs and enjoying conversations about dogs with dog owners, customers, and guests, in our reception area,
- Multi-tasking including (but not limited to) managing POS (point of sale system), phone-texts-emails-Facebook messages,
- Providing customer service and information,
- Scheduling appointments,
- Checking clients in/out,
- Pulling/filing client charts,
- Collecting and processing payment for services,
- Working with our Ranch Hand, Manager, and Grooming pet care team, and
- Making sure that every one of our customers knows we care about them and their pets.
GENERAL RESPONSIBILITIES
- Prepare correspondence, reports and related projects using a computer.
- Receive and transmit telephone calls, scan, and facsimile messages accurately and promptly using the telephone systems, message systems, email, and copy machines.
- Greet guests in a professional and friendly manner; provide top quality customer service.
- Assist managers in hiring staff, including collecting and assimilating resumes, screening applicants, testing and other necessary functions.
- Run errands and complete special projects as needed.
- Assist with department projects; input data, organize and disperse reports and files such as monthly reports, light bookkeeping, filing, and assist with event logistics.
- Assist with outgoing mail via UPS, USPS, Federal Express and other overnight and courier services.
- Maintain files and appropriate records of correspondence, special projects, literature, and other documents.
- Maintain, review and record the need for supplies.
- Other duties as assigned by the General Manager.
REQUIRED KNOWLEDGE, SKILLS, ABILITIES, AND EXPERIENCE
- Minimum Bachelor of Science or Arts degree (BS or BA),
- Love of Dogs, experience with a lot of Dogs, and basic knowledge of pet care,
- One year of front-line customer service experience (sales, serving, or front desk),
- Previous administrative or office experience preferred
- Excellent communication skills and a sincere interest in endlessly talking with people about their dogs are required for success.
- Ability to perform several tasks concurrently, time management and organizational skills.
- Excellent oral, verbal and written communication skills required, including public contact.
- Ability to organize and maintain detailed records; complete necessary paperwork and meet deadlines.
- Ability to use computers; Microsoft Office Suite, Quickbooks POS system, Gingrapp.com, email, and office equipment.
PHYSICAL DEMANDS
- Stationed at the front desk workstation for the majority of the job. Occasional overtime hours may be required.
- Work is performed in the reception area of a dog kennel setting.
- Exposure to high noise levels when in the kennel area.
- Subject to animal bites and scratches while handling animals of questionable temperament. Occasional lifting of over 50 pounds.
- Standing on feet for 8 or more hours a day.

- Applicants must have experience working with lots of dogs
- Applicants must be able to work around dogs of all types, breeds, and temperaments
- Applicants must be able to work well on their own
- Applicants must be able to work as part of a team
- Applicants must be dependable, punctual and very responsible
- Applicants must come to work clean, well-groomed
- Applicants must perform other related duties as required during working hours

WORK SCHEDULE
- Required to be available Monday through Sunday
- Candidates will be supervised at all times by the General Manager
