What are your responsibilities?
As an Office Administrator/Executive Assistant, you will have a variety of responsibilities that are essential to the function of our business. You will not only ensure current transactions run smoothly, but also help acquire new clients through innovative marketing strategies.
We are looking for a new team member who is ambitious to grow WITH us! While we HIGHLY value related experience, we will provide training for all functions of this position. See below for a summary of some of the unique responsibilities within this position!
- Transaction Coordinating for Lead Broker’s deals: You oversee real estate transactions from listing to close & contract to close. This will be the main focus of your work as an Office Administrator/Executive Assistant. This also involves helping our Lead Broker prepare for listing appointments and scheduling inspections, surveys, reports, and various contracting work advised by Lead Broker. You will not be responsible for negotiating deals or showing homes, however, you will be communicating with clients throughout every transaction.
- Executive Assistance: You assist our Lead Broker in daily activities as instructed. You directly report to the Lead Broker throughout the work day. Responsibilities vary day-to-day.
- Marketing Management: You work closely with our Creative Intern to develop marketing campaigns and manage social media accounts. Content creation experience is highly valued! Marketing campaigns include but are not limited to postcards, billboards, updating/maintaining company website, recruitment campaigns, blog posts, subscription emails, video advertisements, and others.
- Basic Bookkeeping: Experience in Quickbooks is highly valued but not required. Mainly, you ensure invoices/receipts are accounted for and filed appropriately in digital company folders. We're *nearly* a paper-free company!
Position Qualifications/Preferred Experiences:
- High school or equivalent education required, some college experience preferred
- Passionate about providing excellent customer service. Excellent problem solving and critical thinking skills.
- Applicants must possess exceptional organizational, verbal, and written skills.
- Previous experience in project management, transaction coordination, real estate, titles, or mortgages highly valued
- Previous experience in copywriting, content creation, social media management, marketing strategy/SEO highly valued
- Previous experience with the following programs are not required, but highly valued: Excel, G-Suite, DotLoop, BrokerMint, Canva, Adobe PDF, Adobe Photoshop, QuickBooks, Followup Boss, Multiple Listing Service (Greater Alabama MLS)
