We are offering a contract to permanent employment opportunity for an Executive Assistant in the service industry. The role is based in Cincinnati, Ohio, and involves providing administrative support to senior leaders and coordinating office services for the team and facility.
Responsibilities:
- Arrange travel plans, calendars, and itineraries for the President and CEO
- Compose correspondence, coordinate projects, produce reports and track expenses
- Manage Board and Executive Committee meetings
- Schedule and communicate meetings to employees, ensure the set-up of facilities and technology, create and distribute agendas, and track attendance
- Record minutes of meetings, transcribe, and distribute to committee members in a timely manner
- Act as a primary liaison to the Board and ensure their concerns or issues are addressed
- Maintain confidential company files
- Execute project management responsibilities that include research, planning, and stakeholder communication
- Act as the primary resource on IT and phone related questions, solutions, and vendor contact
- Manage facilities including break rooms, meeting rooms, and work rooms
- Act as a backup for CRM related data entry and management
- Carry out all other duties as assigned.
- Proficiency in Microsoft Word, Microsoft PowerPoint, Microsoft Excel, and Microsoft Outlook
- Experience with Advisory Boards
- Expertise in Administrative Assistance
- Familiarity with Executive Meetings
- Proficiency in Calendar Management
- Proven ability to handle confidential information with discretion
- Exceptional organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners
- Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment.
