Overview:
We are seeking a Customer-centric and delightful Front Desk Receptionist to join our team. The ideal candidate should have a strong background in Front Desk Reception, Executive Assistant or Secretarial duties. This position is established to greet and provide a great Customer experience to walk-ins, but will support Customer Service in downtime. This role is multi-faceted and will be expected to support Office and Facilities administrative tasks such as scheduling repairs, maintaining office supplies and consumables as well as fun tasks such as decorating for various holidays and scheduling team outings and events.
Duties:
- Receive incoming walk-ins and direct them to the appropriate personnel when not a Customer.
- Greet, support, offer product knowledge, assist in processing purchases and coordinating local pickup for in person customers.
- Utilize computer literacy skills to navigate software systems effectively
- Coordinate office tasks and act as a personal assistant to the Operations manager
- Maintain a tidy and fully stocked showroom and front desk.
- Monitor, compile and submit supply order requests by approval of the Operations Manager.
- Perform data entry tasks accurately and efficiently
- Manage and maintain office calendars
- Assist with clerical duties such as filing, scanning, and faxing documents
- Meet the same quality and SLA expectations of CS representatives for text based communications with customers. Same expectation for over the phone communications when the need arises.
- Inform relevant departments/contacts of visitors here to see them.
- Inform Operations Manager of critical facilities needs such as broken facilities or net new facilities features needed.
- Foster a positive environment for customers and employees being the first face they see when walking in the door.
- Decorate the office for holidays and festivities; plan team outings both on and offsite.
- Various administrative duties yet to be determined and as assigned.
Qualifications:
- Previous experience as a receptionist, secretary, executive assistant or office manager required
- Previous experience with office and facilities management tasks a major plus
- Proficiency in Shopify for managing financial transactions
- Familiarity with Google Suite for office productivity
- Strong clerical skills including data entry and record keeping
- Excellent organizational abilities for managing office tasks efficiently
- Ability to handle multiple responsibilities simultaneously
Job Type: Full-time
Pay: $18.00 - $20.00 per hour
