Job Title: Administrative Assistant
Job Summary:
: We are seeking a detail-oriented and organized Administrative Assistant to join our condominium management office. As an Administrative Assistant, you will play a crucial role in supporting daily operations, ensuring efficient communication, and maintaining accurate records. You will work closely with residents, contractors, and the General Manager to provide exceptional service.
Duties:
- Communication:
- Answer phones and respond to emails promptly and professionally to assist residents, guests, and contractors.
- Relay clear messages to the GM and Facilities Manager.
- Work Order Management:
- Enter and process work orders promptly.
- Process billing for completed work orders every week.
- Financial Administration:
- Deposit checks received from residents.
- Enter bills into the system and prepare checks for payment.
- Enter monthly utilities for resident billing.
- Assist with weekly payroll processing.
- General Support:
- Provide administrative support to the General Manager.
- Maintain organized files and records.
- Assist with other office tasks as needed.
Experience:
- High school diploma or equivalent (additional education preferred).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent communication skills (both written and verbal).
- Strong attention to detail and ability to multitask.
Prior experience in property management or a similar role is a plus
Reporting Structure: The Administrative Assistant reports directly to the General Manager.
