This position reports to the Executive Director and is primarily responsible for data entry, troubleshooting, and maintenance of the grants management system, the funding search system, and the financial system. A strong understanding and comfort-level with technology, the ability to work independently, and a willingness to serve the team in a variety of roles is essential. This position will also provide administrative support to the Executive Director and to the team, as appropriate.
ESSENTIAL DUTIES:
- Maintains expert knowledge of the grants management system and the funding search system and is primarily responsible for the maintenance, updates, and troubleshooting.
- Performs compliant and accurate data entry into the grants management system at both pre and post award (including institutional proposal, proposal development, award, budget modifications, and personnel changes). Serves as the primary point of contact for help desk requests and mitigates and resolves challenges, errors, etc.
- Assists the team with the award close out process, as appropriate and ensures timely and accurate updates in the grants management system.
- Executes periodic reports (as determined by the Executive Director) and reviews status of proposals (pending and award period of performance) and identifies inaccuracies, inconsistencies, past due proposals/awards, and communicates such to the Executive Director. Takes corrective action in the system, as instructed.
- Serves as secondary delegate and back up to the Executive Director for sponsored activity reporting.
- Manages and executes requests for customized funding searches. Maintains a tracking system that provides follow up and metric tracking.
- Develops and facilitates workshops, training, and outreach on the grants management system and the funding search system.
- Works collaboratively with the purchasing/travel agent to ensure appropriate and adequate office supplies are ordered and available and maintains an inventory of supplies.
- Performs data entry in the financial system and provides administrative support to the Controller.
- Provides administrative support to the Executive Director and colleagues, as needed.
- Manages and serves as primary point of contact for university offices (IT, email distribution/list serve accounts, etc.)
- Manages and updates the RI website, as directed.
- Performs general office support including monitoring voice mail, greeting visitors, getting and sorting mail, and assisting the RI team, as needed.
- Assists with the coordination of Research Institute hosted events.
- Recommends improvements to workflow, processes, and/or Policy development to the Executive Director.
- Performs other duties as assigned.

Pay: $18.00 - $20.00 per hour
