General Responsibilities:
Under the supervision of the Executive Assistant, the Facilities Coordinator will manage the facilities and grounds of all Haven program sites; will plan, budget and schedule facility maintenance/modifications while ensuring compliance with government health and safety standards. The Facilities Coordinator will also be responsible for advising senior management on capital projects, as well as managing projects to ensure compliance with budget, contracts and zoning laws. The Haven has seven sites, and these would fall under the purview of the Facilities Coordinator. Four of these sites are residential and therefore have a consistent need for maintenance and repairs. There is also a Capital project in the pipeline and the facilities coordinator will be fully involved in the project.
General Requirements: Bachelor’s level of conceptual thinking. Two years’ experience as a Facilities Coordinator in a residential setting preferred. Strong knowledge of facilities maintenance and hands-on experience. Good knowledge of building structures, plumbing and electrical, zoning guidelines preferred. Good organizational skills: ability to manage time and tasks independently and effectively. Ability to broker resources/vendors for Tri-Valley Haven in a cost-effective manner. Familiarity with Davis Bacon regulations helpful. Knowledge of violence against women and children, and homelessness preferred. Completion of minimum required Agency Training within 6 months of employment (if not before).
AREAS OF RESPONSIBILITY
_ I. FACILITY COORDINATION _
- A. Coordinate facility maintenance issues such as plumbing, light electrical work, heating and cooling, office equipment, security cameras, painting, and structural repair. Field emergency and/or service calls from staff for facilities issues.
- B. Manage and maintain leases for Haven rental facilities. Manage servicing, maintenance, smog checks and registration for all agency vehicles.
- C. Maintain Haven sites, obtaining appropriate certifications and licenses as required (i.e., fire inspection)
- D. Develop safety and emergency protocols for each Haven facility with assistance from Department Directors.
- E. Coordinate services from outside vendors when necessary, such as plumbing emergencies, etc.
- F. Work closely with TVH Maintenance Technician for timely completion of jobs.
- G. Responsible for ensuring that the physical locations of the TVH facilities are kept as pleasant, safe environments. Uphold the confidential location of TVH shelters.
- H. Responsible for ensuring that supplies for emergencies are available for residents at all Haven Shelters including food, water, cooking equipment and fuel, diapers and first aid supplies.
II. TVH RESOURCE MANAGEMENT
- A. Responsible for maintaining an inventory of frequently used supplies, make purchases when needed to complete tasks. Follow the requisition protocols for making purchases. Maintain an updated record of invoices from external vendors.
- B. Develop and maintain inventory records for each facility, starting with residential programs first. Initially develop with each Department Director, then maintain routinely. June 11, 2024
- C. Coordinate pick-up and distribution of supplies, donations, equipment etc. for TVH programs.
- D. Develop a maintenance calendar to provide good visibility for project planning. Work with the Volunteer Coordinator to coordinate group volunteers.
- E. Keep track of regular and ad-hoc facility expenses, routine maintenance and develop reliable vendors for jobs that need to be outsourced.
- F. Develop and maintain reliable vendors and contractors as needs arise.
III. GENERAL TASKS - Performs general tasks as needed and represents Tri-Valley Haven in a professional manner. Tasks include, but are not limited to:
- A. Attend meetings as required, participate in various TVH committees.
- B. Assist with TVH special events logistics as required by Executive Director.
- C. Represent TVH at community meetings relevant to facility and safety.
- D. Assist with volunteer projects relevant to facility maintenance/improvement.
- E. Have a valid California driver license and an insured automobile that employee will use as necessary for agency related business.
- F. Must maintain a good Motor Vehicle Record (MVR) to be able to drive for the agency.
IV. CAPITAL PROJECT – Tri-Valley Haven is rebuilding its domestic violence shelter.
- A. The Facilities Coordinator will coordinate the logistics of moving current clients, shelter staff, office equipment, furniture and other program supplies to a temporary site.
- B. Work with the demolition crew, construction company etc. on project needs.
V. OTHER TASKS AS ASSIGNED BY THE EXECUTIVE ASSISTANT OR EXECUTIVE DIRECTOR WITHIN THE SCOPE OF TRI-VALLEY HAVEN’S MISSION.
