Reporting to the on site Controller, the Receptionist will serve as the first point of contact for visitors and callers, providing exceptional customer service, while also providing administrative support to the accounting and operations. The ideal candidate will have excellent communication skills, a strong attention to detail, and the ability to handle multiple tasks efficiently. This is a great opportunity for someone who enjoys interacting with people and has a basic understanding of accounting principles.
Requirements:
Responsibilities- Receptionist:

Welcome and greet visitors, ensuring a positive and professional impression of the company.

Answer phone calls, address inquiries, and transfer calls to the appropriate individuals or departments.

Maintain a clean and organized reception area, ensuring it is presentable at all times.

Receive and distribute mail and packages and coordinate outgoing mail and courier services.

Assist with general administrative tasks, such as filing, photocopying, and organizing documents.

Provide administrative support to various departments, as needed.
Miscellaneous Responsibilities:
-
Assist the accounting department with basic accounting tasks, such as data entry, invoice processing, and reconciling accounts.

Ensure accurate and timely entry of financial transactions into the accounting system.

Assist with accounts payable and accounts receivable tasks, including issuing checks and processing payments.

Support the preparation of financial reports and statements by gathering and organizing financial data.

Maintain organized and up-to-date financial records and documentation.

Assist with month-end and year-end closing procedures as required.

Support Operation Management with various tasks and requests
-
Special projects and tasks as assigned.
Skills and Experience:
-
High school diploma or equivalent. Additional education in accounting or business administration is a plus.

2-3 years previous experience in a receptionist or customer service role is preferred.

Bilingual in Spanish and English

Basic understanding of accounting principles and experience with basic accounting tasks is desirable.

Strong interpersonal and communication skills, with the ability to provide excellent customer service.

Excellent organizational skills and the ability to multitask and prioritize effectively.

Proficiency in using office software, including MS Office Suite (Word, Excel, Outlook).

Experience with accounting software or ERP systems is a plus.

Detail-oriented and able to maintain accuracy while working with data.

Professional and courteous demeanor, with the ability to maintain confidentiality.

Ability to work independently and collaboratively in a team environment.
