Position/Title: Shipping Clerk
Reports To: Plant Management
JOB FUNCTIONS:
The shipping clerk ships all parts that are due or past due per customer instructions, Epicor information, blue tickets, and/or e-mails from management. The shipping clerk stores parts by customer name and/or by part number that are not due for shipment. The shipping clerk verifies parts are identified with the part number, customer and quantity. The shipping clerk maintains storage areas as to make retrieval quickly and to prevent loss. The shipping clerk is responsible for labeling product for shipment and completing the packing slips and bill of lading as necessary. The shipping clerk will work closely with customer service and the packing supervisor to ensure on-time delivery and customer shipping requirements are met. The shipping clerk will pack gaskets and/or perform other assigned functions when no work is available. The shipping clerk is responsible for a clean and safe work area and must take ownership of all daily tasks.
2. The shipping clerk will make schedule shipments based on the Scheduled Shipment Pull List, Blue Tickets and or the written direction of Management. The shipping clerk must print the Scheduled Shipment Pull List from Epicor multiple times to determine the parts to be shipped.
3. All parts with a ship quantity less than or equal to the on-hand quantity can be shipped unless on OH (on hold) or CH (credit hold). Parts with partial quantity will be determined by customer service.
4. The shipping clerk will reference Epicor, the Quick Reference Guide, or the Shipper Guide on shipping details as necessary.
5. The shipping clerk will label cartons as needed with the appropriate label prior to shipment. If a specific customer label is required, it will be under the customer’s name located in label printer files. If the customer is not listed, a generic box or carton label may be used.
6. The shipping clerk will ship the exact quantity per sales order release unless authorized to ship over by management. The shipping clerk will mark the packing slip the person authorizing the over shipment.
7. The shipping clerk will verify if the Customer requires a Material Certification from the Material Certification List. If a certification is listed, the shipping clerk will contact Quality Control to obtain the Material Cert.
8. The shipping clerk will print packing slips through Epicor by using Customer Shipment Entry. The shipping clerk will enter the Sales Order, line, and release number. They will enter the quantity shipped, the number of packages, the weights, and any appropriate comments such as the tracking numbers or bill of lading number.
9. The shipping clerk will print the packing slip and attach a packing slip to the product being shipped and file one copy in the shipping files by date.
10. The shipping clerk will complete any other paperwork such as the Bill of Ladings, Customs Paperwork, etc. as required. All loads picked up must be signed for and a copy of the paperwork retained with the exception of UPS and FedEx. This paperwork is to be filed in the daily shipping files.
11. The shipping clerk will use the appropriate shipper software systems to make UPS Shipments, FedEx shipments, and other necessary customer requirements for various carriers.
12. The shipping clerk will contact LTL carriers as required for pickup based on customer requirements.
13. The shipping clerk will secure LTL loads with stretch wrap, banding, and corner boards as necessary to ensure product integrity during shipment.
14. The shipping clerk should determine the most effective and efficient use of cartons and packaging materials when repacking parts for shipment. Due to varying customer order quantities the carton size and quantity can vary between orders. The shipping clerk should try not to exceed 35 lbs. for most shipments.
15. When completing a bill of lading the shipping clerk should weigh each pallet to obtain the total weight (do not use calculated weights except for dedicated trucks). If the weights are near the truck weight limit, the skids should be weighed. The number of pallets and the number of boxes should be listed on the BOL unless other documentation is used. Document all other pertinent information on the BOL.
ADDITIONAL RESPONSIBILITIES:
1.Become forklift certified.
2.Assist with inventory of finished goods as required by management.
3.Examining work for exactness, neatness, and conformance to policies and procedures
4.Ensuring correct shipment of international orders and hazardous material orders
5.Regular interaction and coordination with team members at all levels of operations.
6.When fulfilling job duties, physical requirements may include walking long distances, crouching,crawling, standing on ladders, using precision instruments, and other necessary hand tools requiringmanual dexterity and visual acuity.
7.Performs other job duties as assigned
QUALIFICATIONS: 1.Attention to detail Pulling, packing, and scanning orders
2.Having the ability to work independently and within a team
3.A High School diploma. (Can be substituted with documented relevant work experience).
4.Experience in Shipping or Materials Management
5.The ability to effectively communicate orally and in writing
6.Demonstrated ability to use sound judgment and discretion in dealings with co-workers
7.Effective oral, written, and interpersonal communication skills
8.Have Strong knowledge of DHL, Federal Express, and United Parcel Service operations and database use as required.
9.Have strong proficiency with MS Office, particularly Excel, and general office technology
10.Love efficiency and can help build improvements in processes
11.At times, some lifting may be required, up to 50 lbs.
12.As such, safe lifting techniques should be used, and a request for assistance should be made to a co-worker or supervisor
