**Executive Assistant to CEO at The Valens Group Inc - a small pediatric therapy practice**

**Duties:**
- Provide high-level administrative support to CEO and team, including managing calendars and scheduling
- Managing and prioritizing internal/external communications, ensuring effective communication and follow-up on action items.
- Assist in event planning and coordination for company functions and executive meetings.
- Handle clerical tasks such as filing, organizing documents, and maintaining office supplies.
- Manage phone systems, screen calls, and prioritize messages for the CEO's attention.
- Serve as a personal assistant to the CEO by handling various tasks efficiently and with confidentiality.
- Proficient in financial record-keeping and expense tracking.
- Proficiently navigate Google Suite, Mac programs, Excel, Canva, Asana, EMR software and other software to streamline operations.
- Support project coordination efforts by assisting in tracking deadlines, milestones, and deliverables.
- Maintain front desk operations by greeting visitors, answering inquiries, and directing calls appropriately.
- Proficient in data entry, communication with clients, maintaining client charts, HIPAA compliance
- Self-starter and able to self-manage with excellent time management and organizational skills
- Must be able to complete projects with minimal supervision in a timely fashion
**Requirements:**
- Proven experience as an executive assistant or similar role supporting C-level executives or office management
- Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- Excellent communication skills, both written and verbal, with a professional demeanor.
- Proficiency in Microsoft Office Suite (Word, Excel) and familiarity with Asana and EMR software.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Experience in scheduling and calendar management is a plus.
- Familiarity with front desk operations
- Must have professional and very positive demeanor and be able to quickly build rapport with others.

Pay: $18.00 - $25.00 per hour
Expected hours: 16 – 20 per week
