Industrial Inspection & Analysis (IIA) is looking for an Administrator (also known as Office Administrator) to join our Nuclear Services group in San Antonio, TX.
Position Summary
The Administrator performs tasks of moderate complexity which mainly include Accounts Payable and Accounts Receivable duties, running system queries, preparing accounting reports, monitoring daily/continuous accounting activity, answering internal and external customer questions, and reviewing payroll.
Essential Functions:

Manage Accounts Payable, including creating Purchase Order and entering bill on time with high accuracy, and responding to vendor inquiries regarding status of payments.

Following up on Purchase Order to ensure all items are properly received on time.

Manage Accounts Receivable, including creating Sales Order and invoice, uploading to customer’s portal, maintaining project log, and following up on collections.

Work and communicate closely and effectively with Project and General Managers to ensure that all operational requests are fulfilled, including running detail report from ADP and other platform to help with analysis.

Process payroll, including reviewing and approving ADP Time and Attendance, entering any manual expenses, and ensuring all employee changes have been captured and reimbursements were made on time.

Work with Corporate Payroll Coordinator to resolve any tax or withholding issues.

Maintain employee records in Concur and assist with any issues related to expense report.

Act as an admin to maintain credit cards for employees in JP Morgan platform.

Assist Corporate Team with audit related requests

General office day-to-day operations, including responding to calls, depositing checks, shipping and receiving packages and other ad hoc duties.
Education, experience, and competencies required
-
At least 2 years of experiences working in accounts payable, receivable, basic Accounting, such as accrual are preferred

Familiarity with ADP Time and Attendance, Concur and Bill.com are preferred

Professional attitude, appearance, and organization of work area.
