Overview:
We are seeking a talented Proposal Coordinator to join our team. The ideal candidate will be responsible for overseeing the proposal process from inception to completion. This role requires a strategic thinker with excellent project management skills and a keen eye for detail.
Duties:
- Develop and manage proposal schedules, outlines, and compliance matrices
- Coordinate proposal kick-off meetings and progress reviews
- Collaborate with various teams to gather necessary information for proposals
- Write, edit, and proofread proposal content for clarity and consistency
- Ensure proposals are submitted on time and meet all requirements
- Supervise the proposal process from start to finish

· Submit technical questions provided by estimators to the Owner per requirements and deadline established in the bid documents
· Prepare and distribute monthly upcoming bid opportunity list by email to database of subcontractors and suppliers for participation
· Verify that GFE is being performed and help advise Assistant Bid Coordinator on requirements of each project.
· Ensure compliance with state procurement law and/or Federal Acquisition Regulations as included in proposal and bid documents.
· Manage subcontractor documentation including subcontractor participation forms and certifications.
· Prepare and distribute individual RFQ’s to selected subcontractors and suppliers for participation
· Make necessary updates to the bid schedule distribution list
· Track and manage all documentation associated with preparation of estimates, bids and proposals including amendments, RFI s, etc.
· Update all project documents per amendments issued pre-bid.
· Review, log and act upon incoming and outgoing documents associated with bids and proposals.
· Assist Estimating Team and Business Development Manager with coordinating and scheduling meetings related to pursuit kick-offs, estimating reviews and bid submission reviews, as well as team meetings and interdepartmental meetings.
· Act as the central point of contact on assigned proposals, leading and guiding the work of the Bids and Proposals team
· As needed, attend Prebid or site visit meetings (on-site or virtual) ordered by Clients
* Must be able to drive a company car or your own vehicle at times.
· Update Key Personnel’s Resumes for submittal with technical bid packages
· Perform administrative functions such as filing; correspondence log maintenance; processing incoming and outgoing correspondence and transmittals into the hard file and electronic database system; schedule meetings.

Minimum Education Requirement:
· Associates Degree or 2 Consecutive Years Administrative Experience
