Description:
SUMMARY
Reporting to the Executive Assistant to the President and CEO, the Administrative Assistant facilitates the efficient operation of the President’s Office by performing various administrative and clerical tasks. Duties of the Administrative Assistant include providing support to the Executive Assistant to the President and other Executive’s within the President’s Office and the day-to-day needs of the President’s Office. The ideal candidate should have excellent oral and written communication skills, experience working in an office environment, and providing support to multiple executives.

EDUCATION and/or EXPERIENCE
-
High School Diploma or General Education Development (GED) certificate required; Associate degree preferred.

Two (2) years’ experience in providing administrative or general office support, clerical, or secretarial experience, preferably supporting executive-level staff.

Must have proficiency with MS Office (especially with Outlook, Word, Excel, PowerPoint) and virtual collaboration tools such as Zoom and teams.

Proficiency in Excel with the ability to perform document merges, mail merges, database creation and maintenance, data entry, report generation is required.

Spanish proficiency is strongly preferred, but not required.

Strong interpersonal and communication skills, written and verbal, including phone etiquette and the ability to communicate with individuals and groups from diverse backgrounds in a manner that is consistent with HACU’s culture, mission, and values.

Strong knowledge of rules of effective business communications including spelling, punctuation and grammar.

Experience in minute-taking and the preparation of agendas and reports.

Ability to work with basic mathematical computations and concepts such as making change, calculating percentages, applying discounts, basic addition, subtraction, division, and multiplication.

Ability to work independently and collaboratively in a fast-paced environment.

Strong organizational and time management skills, with the ability to manage multiple projects within deadlines and high attention to detail.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Work collaboratively and strategically in a team environment with all levels of professional, technical, and administrative staff to ensure the fulfillment of HACU’s mission, goals, and objectives.

Assist with the preparation and editing of correspondence, communications, presentations, and other documents as requested. (some of which may be confidential)

Operates telephone console to receive incoming messages, redirect calls or provide routine information requiring a detailed knowledge of department/section function.

Read, research, and route correspondence.

Handle sensitive issues with discretion.

Perform mail merges.
-
Collect and analyze information relevant to organizational matters.

Maintain existing databases.

Create new databases.

Organize and maintain electronic and paper files, including scanning archives and maintaining virtual files on the cloud.

Track and maintain inventory of the President Office supplies.

Provides support for the Executive Assistant to the President and CEO when they are unavailable

Schedule appointments and meetings as requested.

Maintain comprehensive calendar of department activities for reference.

Provide support and conduct research as requested.

Prepare travel folders and agendas for Executive staff.

Prepare and reconcile expense reports accurately and promptly.

Process invoices through HACU’s invoicing system.

Process supply orders through HACU’s purchasing system.

Take meeting minutes, as requested by the Executive Assistant, and ensure action items are communicated and followed up on.

Compile documents for travel-related meetings.

Scan and copy documents.
-
Compile and prepare meeting folders.
-
Provide administrative support for various projects managed by the Executive Assistant.
-
Coordinate logistics for internal and external meetings, including room bookings, catering, and technical equipment setup.

Conduct research and compile data as requested.

Provide on-site assistance at HACU’s Annual Conference (and Capitol Forum, as requested)
-
Assist with the coordination of company events and executive board meetings as directed by the Executive Assistant. This includes collaborating with the Administrative Operations Department for events such as HACU Staff Retreats, Team Building, and the Annual Staff Holiday Dinner.

Act as a backup to the Executive Assistant during their absence, ensuring that the President’s office operates efficiently and without interruption.

Collaborate with other administrative staff to ensure a high level of support for the executive leadership.

All other duties as assigned.
SUPERVISORY RESPONSIBILITIES
This job has no supervisory responsibilities.
PHYSICAL DEMANDS & WORK ENVIRONMENT

Employee will work a standard of 40 hours a week; however, longer hours may be necessary at times.
-
Conferences and events may take place in hotel and/or convention center settings and require longer hours of work on a constantly changing schedule and the ability to complete the essential functions of this role in a noisy environment.
-
The physical demands of this role increase in the time leading up to, during, and after the conference/event. This includes extended periods of standing, walking, occasional bending, and stooping. Conferences may require the employee to position themselves to move, push and lift equipment or supplies weighing up to 40 pounds.

Working conditions are in an office environment with sitting or standing, computer data entry, answering phones.

Constantly operates a computer and other office productivity machinery.
