Job Summary:
Performs a variety of payroll, accounting, and administrative tasks. Nonexempt, fully remote, part-time employee working 16-24 hours per week. Reports directly to the firm’s Principals.
Payroll and Onboarding
- Enters, maintains, and/or processes information in the payroll system; information may include employees’ hourly rates, salaries, commissions, bonuses or other compensation, time worked, paid leave and holidays, deductions and withholding, address changes, and other information.
- Ensures proper processing of payroll deductions for taxes, benefits, charitable contributions, and other deductions.
- Issues or reissues, physical or replacement checks, or direct deposits due to payroll errors.
- Records and processes federal and state payroll tax deposits.
- Assist new hires in completing onboarding paperwork.
Accounting and Expense Management
- Receives and verifies expense reports and receipts, credit cards, and check transactions. Enters information into the accounting/project management system. Assist Principals with completing expense reports and assigning receipts to projects.
- Log incoming client payments and vendor invoices. Issue invoices per the direction of Principals.
- Prepares and sends client statements after each billing cycle.
- Creates reports regarding the current status of client accounts as requested. Researches discrepancies and past-due amounts. Ensure outstanding obligations are credited upon payment.
Construction and General Administration
- Compiles resumes and marketing materials for project proposals. Proofread proposals.
- Manage workflow and distribution of incoming Construction RFIs.
- Request certificates of insurance for specific clients and distribute them as appropriate. Verify continued coverage and that all policies are maintained.
- Track and maintain due dates for state licenses, including business and firm license renewals.
- Check drawing sets for consistency across disciplines and architectural sets.
- Answers and transfers phone calls, screening when necessary.
- Coordinates and schedules travel, staff events, meetings, and appointments.
- Prepares agendas and schedules for meetings.
- Maintains e-filing systems as assigned.
- Responds to and resolves administrative inquiries and questions.
- Performs other related duties as assigned.
Required Skills/Abilities:
- Excellent organizational skills and attention to detail.
- Ability to learn quickly and adapt to change.
- High level of customer service.
- Proficient with Microsoft Office Suite or related software.
- Proficient with or the ability to quickly learn payroll software.
Education and Experience:
- High school diploma or equivalent required.
- Two years of experience in accounting or bookkeeping with at least six months of experience in payroll preferred.
- Experience in construction or engineering office environments preferred.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift 15 pounds at times.
