Our Executive Administrative Assistant role reports to the CEO of Skyline Construction Enterprises and is a key contributor to the CEO success. You have an integral role inside the organization as you have a high amount of visibility into their day-to-day and work cross functionally across the company. This role serves as the right-hand partner of the CEO.

Expertly own and manage the CEO’s schedule, strategically aligning time with priorities; respectfully adjust to frequent changes within a dynamic fast-paced environment with a flexible, adaptive mindset.
- Act as a team point person: handle team requests, problem-solve, and assist with keeping the team on track and organized.
- Attend key executive team meetings and take, compile, and share meeting notes and follow up on action items.
- Book all CEO travel, considering timing based on CEO’s schedule and priorities; travel plans may change, so an ability to adjust with calm and ease is paramount.
- Maintain confidence and protect the office of the CEO by keeping all information confidential.
- Assist with Special Projects which may include coordinate internal meetings including but not limited to Board of Directors meetings, team meetings, special projects with third party consultants and vendors, one on one meetings with a wide variety of personnel.
- Responsible for planning offsite meetings and special events sponsored by the CEO (quarterly Presidents Meetings, Leadership meetings, Advisory Board Meetings, holiday events, team outings and gatherings.
- Liaise with branding department on PR related and companywide branding and marketing initiatives.
- Liaise with finance departments regarding rollouts of key financial results, budgets, data, metrics, etc.

Effectively represent the Office of the CEO by interfacing and communicating with employees, executives, board members, candidates, and customers.
- Liaise with HR to ensure timely execution of key deliverables-performance reviews, budgets, etc.
- Manage and file all expense reports for the CEO and CRO.
- Create presentations to communicate narratives articulated by the CEO

Maintenance and filling of corporate documents.
- Ad hoc projects, tasks, research, and requests as needed.
- The role may from time to time also be required to support the CRO/Chairman of the Board with special projects and administrative tasks.

Assist with personal tasks for CEO periodically (scheduling car service for family travel, package returns, gift and flower orders for birthdays & holidays, etc.)

Order lunch/coffee and deliver to CEO as requested to accommodate heavily scheduled days.

Review and approve all expense reports for CEO’s direct reports; identify any areas of concern or lack of alignment with policy and values, review with CEO as appropriate.

Minimum of 7+ years of applicable executive administrative experience

Skillful execution of administrative activities, with high attention to detail, organization, and process.

Ability to efficiently and effectively multitask, prioritize incoming requests appropriately.

Strong technical competency with MS suite, Concur and other applications as needed.

Strong oral and written communication skills with ability to communicate clearly and effectively with senior leaders and external partners at all levels.
- Maintain a teamwork mentality with an ability to work collaboratively, offering suggestions and process improvements.

Ability to lead special projects in collaboration with the CEO and her leadership team.
- Ability to travel to Company offsite and to other Skyline offices as needed.
