Position Summary
The Business Administrative Associate (Business Administrative Associate - Miles Square Health Center) will serve as a member of the Mile Square Health Center finance team. Responsible for the on-going administration of sponsored projects as well as self-supporting funds. This position is responsible for the on-going administrative duties involved in assuring compliance with applicable policies, procedures, rules and regulations of the sponsoring agency, the employing institution, and applicable state and federal requirements.
Duties & Responsibilities
- Coordinate the unit’s day-to-day procurement activities including set-up of contracts using Contracts+, POs via IBuy, P-card, and T-card
- Post expense corrections including JVs and labor redistributions as needed
- Administer the unit’s Continuing Medical Education (CME) program
- Ensure expenses and revenues are posted in accordance with sponsored projects budgets and Uniform Guidance
- Monitor accounts payable (AP) activity, including reviewing activity and troubleshooting outstanding invoices.
- Oversee the unit’s equipment and inventory program, including ensuring biennial inventory compliance
- Assist with the preparation of monthly reconciliations of Mile Square funds
- Assist with the preparation of financial reports and invoices to various external sponsors
- Assist with internal financial requests as needed
- Assist with audit reports as needed
- Policy and Procedure Development, Training Program
- Work with the Finance Team to help develop, implement, and monitor policies and procedures that govern business operations of the unit
- Perform other related duties and participate in special projects as assigned.
Minimum Qualifications
- Bachelor's degree in business administration, management, or a field related to the position.
- Two (2) years of professional business, financial, and/or managerial work experience.
(NOTE: A Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.)
This position requires Illinois residency within 180 days of the hire date.
