As an Office Administrative Assistant with ALife Hospitality Group, you will play a pivotal role in ensuring the smooth and efficient operation of our administrative processes. This multifaceted position involves managing day-to-day office activities, providing administrative support, and contributing to the overall success of our hospitality operations.
Key Responsibilities:
Administrative Support: Answer phones, direct calls, and assist guests and team members with inquiries.
Oversee office supplies, ensuring availability and maintaining an organized workspace. Assist corporate staff, management, and ownership with administrative tasks.
Assist in managing emails, correspondence, and other administrative tasks.
Office Organization: Implement and maintain efficient filing systems for important documents.
Coordinate and schedule meetings, ensuring effective communication among team members. Manage office mail, deliveries, and security system.
Communication and Collaboration: Act as a liaison between different departments, fostering a collaborative and positive work environment.
Communicate effectively with external vendors, insurance providers, and government agencies.
Financial Responsibilities: Reconcile chargebacks and process financial transactions accurately.
Collaborate with the finance team to maintain accurate financial records.
Insurance and Permitting: Work closely with insurance providers to ensure all restaurant locations are adequately covered.
Assist in obtaining and renewing permits for various restaurants.
Maintain up-to-date knowledge of insurance and permitting requirements.
Qualifications:
- Proven experience in office management, administration, or a related field.
- Strong organizational skills with keen attention to detail.
- Excellent communication and interpersonal abilities.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with financial transactions and reconciliation.
- Knowledge of insurance and permitting processes is a plus.
- Professional demeanor with the ability to handle confidential information.
Requirements
- 1+ year of experience working as an administrative assistant required
- Previous experience working as an administration assistant in hospitality preferred
- Skills; Proficient in Microsoft Office Suite ( Word, Excel, PowerPoint and Outlook)
- Experience with Restaurant 365 in a plus
