North Scottsdale Church is seeking an Administrative Assistant to support the Senior Pastor and other members of the Executive Staff. You will serve as the point person for scheduing and logistics for church calendaring and events while providing additional administrative support and back-up.
You do not need to be a member of this congregation, however, as a staff member, your responsibility is to treat confidential information you read or overhear about the personal affairs of the church, its staff or members with the utmost confidence. All personal information acquired while on the job is not to be used outside of necessary daily activity requirements.
Responsibilities:
Project Management
· Work with the Senior pastor on key projects tracking details, deadlines, and next steps to ensure successful completion of projects in a timely manner.
· Work with the executive leadership team to ensure identified major church projects are tracked and completed.
Scheduling and Logistics
· Serve as point person for all scheduling whether from an inside or outside group, answering questions, and ensuring approval procedures are followed.
· Maintain the church calendar ensuring proper priority in scheduling, accuracy in date and time, and adequate notice is given to all who need to know.
· Maintain facility use forms ensuring that all set-up, clean-up, technology, and other needs are completely identified.
· Ensure that logistics for events are coordinated and all necessary team members and committees are in a timely manner informed, able and ready to meet event expectations.
· Handle reservations and ticketing for appropriate events working with the accountant as needed.
· Resolve scheduling conflicts in a professional manner.
Administrative Support
● Church database – Realm
o Bring expertise and ideas as to how the church can more fully utilize its database software.
o Log the weekly worship attendance
o Edit existing and create new profiles.
o Provide reports such as attendance, prospective member, volunteer lists, reservation lists, and other.
o Provide support to members with their personal profile, password, how to update, etc.
● Maintain and order supplies for the office, kitchen, and buildings and grounds.
● Attend staff meetings and prepare calendars for review.
● Back up for the Office Manager as needed.
● Perform any other task required of the position.
Skills and Capabilities Required:
● Proficiency in MS Office products and Google Drive.
● Ability to learn and stay proficient in the church database software, calendaring software, and current graphic design software and new platforms as the church grows.
● Pleasant demeanor and ability to work harmoniously in a team (staff) environment
● Manage time effectively, organize work efficiently, and improve systems that are not effective.
● Engender trust and constructively resolve conflict.
● Interface effectively and positively with staff, members and public.
● Sustain good performance in meeting responsibilities.

Pay: $50,000.00 - $55,000.00 per year
