We are seeking a diligent and organized individual to join our team as an Health, Safety and Environmental (HSE) Compliance Specialist. In this role, you will provide essential administrative support to our HSE department, ensuring compliance with regulations, maintaining documentation, and contributing to the overall safety culture of our organization. The ideal candidate will have strong organizational skills, attention to detail, and a passion for promoting workplace safety and environmental sustainability. The position requires the ability to work collaboratively within the department as well as with operations to support the corporate safety program and promote better safety for our team members. This position reports to the HSE Director and under the guidance of the HSE Compliance Manager.
Essential Job Functions:
· Perform technical and administrative work in support of the department’s core functions and processes.
· Performs other administrative support functions for supervisors and staff.
· Support the Safety Managers/Coordinators with project management tasks on various projects.
· Uses tact and discretion in dealing with sensitive issues.
· Establishes and maintains effective working relationships with all employees.
- Assist in daily operations of the safety department by managing correspondence, preparing documents, and maintaining organized system for safety records and reports.
- Conduct research on safety compliance upon request from Safety team members.
- Any other Safety Department projects or tasks assigned by the Safety Director.
- Data entry, answering phones, photocopying, faxing, filing, etc.
Responsibilities:
Documentation Management:
· Maintain accurate and up-to-date records of safety inspections, incidents, and training sessions.
· Organize and file documentation related to environmental permits, safety protocols, and regulatory compliance.
· Assist in the preparation of reports for new employees onboarding, criminal backgrounds, employment history, D&A programs.
· Assist in maintaining and auditing Driver Qualification Files in accordance with FMCSA.
- Keep files organized by establishing, tracking, and updating file management spreadsheets.
Compliance Monitoring:
· Assist in conducting regular audits and inspections to ensure compliance with local, state, and federal regulations.
· Track deadlines for permits, licenses, and regulatory submissions, and assist in the renewal process.
· Ensure driver compliance with all FMCSA rules for Hours of Service, video safety training and A&D programs.
· Stay informed about changes in relevant regulations and communicate updates to the EHS team.
Training Support:
· Assist in coordination logistics for safety training sessions, including scheduling, room setup, and participant registration.
· Maintain training records and certifications for employees, tracking completion and expiration dates.
· Assist in the development of training materials and presentations as needed.
Communication and Coordination - Safety Program Support:
· Provide administrative support for safety committees and initiatives, including scheduling meetings, preparing agendas, and documenting minutes.
· Assist in the development and implementation of safety policies and procedures.
· Collaborate with other departments to promote a culture of safety and environmental stewardship throughout the organization.
· Serve as a point of contact for employees regarding safety-related questions, concerns, and reporting of incidents.
· Communicate with external vendors, regulatory agencies, and other stakeholders as necessary.
· Coordinate with facilities management to address safety and environmental hazards in the workplace.
Qualifications:
1. High school diploma or equivalent; additional education or training in environmental health and safety is preferred.
2. Proven experience in an administrative role, preferably in a safety-sensitive industry or environment.
3. Familiarity with regulatory requirements related to environmental protection, occupational health, and workplace safety (e.g., OSHA, EPA, etc.).
4. Strong computer skills, including proficiency with Microsoft Office Suite and experience with database management software.
5. Excellent organizational skills and attention to detail, with the ability to prioritize tasks and manage multiple deadlines effectively.
6. Strong communication and interpersonal skills, with the ability to interact professionally with employees at all levels of the organization.
7. A commitment to promoting a culture of safety, environmental responsibility, and continuous improvement within the organization.
8. Ability to work individually or in a team environment.
9. Have a strong working knowledge of the transportation industry.
Job Type: Full-time
Pay: $22.50 - $25.00 per hour
Expected hours: No less than 40 per week
