Job Scope:
The Senior Document Control Coordinator is responsible for document and record coordination including the primary issue of document numbers, part numbers, archival and retrieval, maintaining files and databases of all controlled and other quality-relevant documents of the company. The Senior Document Coordinator has knowledge of the archival process and experience to serve as a liaison to our off-site records management vendor. The Senior Document Coordinator has knowledge of the Quality Management System, as well as competency and experience to guide users in Agile when needed.
Key Responsibilities and Duties
Issue document and part number requests in a Salesforce case management queue
Process any scope sized change order requests including preparation, formatting, distribution, routing, maintenance and release to authorized users
Incorporate approved changes per change orders
Process and maintain the manual/electronic routing, tracking, distribution and retrieval of documents
Maintain document filing system and electronic databases
Retrieve stored information upon request
Independently understand, follow and implement instructions, including the ability to help others understand and implement these instructions
Understand bills of material (BOM) used in Agile
Administer Change Control Board meetings
Prioritize team projects appropriately and with flexibility to accommodate changing department objectives
Assume lead role and assist Document Control Coordinators at other locations, when required
Other Doc Control/QA related activities as required
Qualifications
High School Diploma required, Associates degree preferred
4+ years experience in a Document Control or Administrative position
Experience using Salesforce in a case management queue;
Experience in a regulated/medical device industry highly desirable;
Experience with document control software system administration preferred;
Computer literate and competent in PC based software such as Excel, MS Word, Portable Document Format (pdf) and Adobe Acrobat Writer/Distiller;
Computer skills (electronic document management systems, MRP/ERP systems);
Knowledge of cGMP regulations (21 CFR 820, ISO 13485);
Good verbal and written communication skills
Computer skills (Microsoft Windows and Office programs), familiarity with Agile and Oracle, preferred
Strong organizational and time-management skills
Excellent interpersonal skills with proven ability to work both in a team-oriented environment and independently
Ability to prioritize projects and multi-task
