Railyard Office Assistant Job Description

Summary: The Railyard Office Assistant will provide support to the Shop Foreman & Train Operations Manager in maintaining the reliability of all rolling stock of the Royal Gorge Route Railroad. Support will come in the form of handling administrative and clerical tasks that align with the goals of the Shop team.
Essential Functions:
· Oversee day-to-day administrative tasks including managing correspondence, scheduling appointments, and organizing paperwork related to railroad maintenance operations
· Assist Shop Leads in maintaing inventory records for essential supplies, equipment and spare parts required for the maintenance and repair of rolling stock, signals, tracks and other infrastructure
· Assist Shop Leads with purchasing, shipping and receiving
· Assist Shop Foreman in budget preparation and monitor expenses related to office operations, procurement and maintenance projects
· Serve as a point of contact between Shop Foreman, office staff, maintenance crews and other stakeholders, ensuring smooth communication and coordination
· Assist Shop Foreman & Train Operations Manager in ensuring compliance with safety regulations and protocols within the office environment and maintain records of safety training and incidents
· Assist Shop Leads maintaining accurate inventory records, documentation, equipment inspections and service schedules, utilizing digital databases or manual filing systems as necessary
· Provide support to customers, vendors and other stakeholders by addressing inquiries, resolving issues and facilitating communication between the office and maintenance teams
· Coordinate office maintenance and repair tasks, including managing service contracts, overseeing schedules and ensuring a safe and functional office work environment
· Assist Shop Foreman in the planning and execution of special projects, such as facility expansions, technology upgrades or process improvements
· Other duties as assigned by management or supervisor
Education/Minimum Requirements
· Bachelor’s degree in business administration
· 3+ years of experience in office management, administrative support or similar role within the transportation or maintenance industries
· Forklift/Skid-steer experience is a plus
Knowledge/Skills/Abilities
· Strong organizational skills with the ability to prioritize tasks and multitask effectively
· Excellent communication and interpersonal skills, with the ability to interact professionally with diverse stakeholders
· Proficiency in computer applications such as Microsoft Office and experience in database management software
· Knowledge of basic accounting principles and experience with budget management preferred
· Familiarity with safety regulations and procedures in a maintenance or industrial setting is an asset
· Ability to adapt to changing priorities and work independently with minimal supervision
Working Conditions/Essential Job Functions
· 75% of time will be spent in an indoors office setting
· Must use fine motor skills such as typing for an extended period
· Position may require lifting and moving up to 50 lbs

Pay: From $18.00 per hour
Expected hours: 32 – 40 per week
