POSITION SUMMARY:
Provides management, direction, and leadership to ensure communities are maintained and operated in accordance with Company objectives and meets and/or exceeds the expectations of our clients. Property Manager must be licensed by the State of Florida for Community Association Management (CAM) for a minimum of 3 years with work experience as a Property Manager of homeowners and/or condominium associations. Responsibilities include working closely with the Associations’ Board of Directors to manage and operate the Association, facilitate solutions to problems, assist in the enforcement of the Association’s governing documents, ensure accuracy of invoicing, provide oversight of contracted work, attend meetings as needed, and communicate effectively and professionally at all levels both written and orally. This position routinely requires hours in excess of 40 hours per week along with routine BOD meetings at night.
EDUCATION/TRAINING:
Possess Florida CAM license for a minimum of 3 years; two or four year degree preferable; additional designations in association management preferred.
COMPUTER LITERACY:
Candidates must possess a strong proficiency and working knowledge of Microsoft Word, Excel, and Outlook. This includes the ability to prepare detailed and professional looking documents, spreadsheets, and management reports. TOPS community management software experience is preferred.
EXPERIENCE/ABILITY:
Candidates must possess a strong background in association management by having a minimum of 3 years experience as an Association Manager in Florida. Must have a thorough working knowledge of Florida Statutes 718/720 including recent changes in legislation and have a proven track record of customer service experience; possess the ability to read, analyze, and interpret technical procedures, leases, regulations or documents with a similar degree of complexity; must have strong interpersonal skills and be able to effectively communicate with people at all levels. Must also be able to prioritize, plan, and execute tasks to meet company’s and clients’ standards and expectations.
POSITION RESPONSIBILITIES:
Acquires and maintains current knowledge of state regulatory agency statutes and each client’s community’s governing documents, policies and procedures.
Proactively identifies potential issues and puts procedures and/or routines in place to eliminate them or minimize their effects.
Sets and adheres to the highest standards of work performance and instills them in the staff by personal follow-up to insure that the service is being delivered.
Routinely monitors performance of contractual work to ensure compliance.
Demonstrates an effective ability to adjust to changing circumstances and organizes time effectively and successfully balances the competing demands of multiple projects. Acts quickly and effectively when the situation demands it.
Listens attentively to questions and comments. Communicates in a professional and composed demeanor under all circumstances.
Responds to phone calls and correspondence in a timely and courteous manner.
Displays exceptional ability to analyze and deal with a variety of situations that otherwise could be potential problems.
Maintains a professional relationship with BOD, Owners and vendors.
Encourages staff to behave in a professional manner and comply with company’s safety standards. Motivates all staff to work as a team.
Responds to questions accurately when asked and possesses good written communication and composition skills.
Ability to run monthly BoD’s meetings according to Robert’s Rules of Order.
Creates a management report on a weekly basis which gives current status and progress of specific projects, tasks, and/or Association functions and makes clear and concise recommendations.
Understands and follows directions given by management as well as the BOD and conscientiously completes them in a timely manner.
Completes community calendar and annual processes timely (contracts, insurance, bids, etc.).
Updates association info boards/websites/fact sheets and/or other communication with owners and residents
