PRIMARY FUNCTION
Hart to Heart Transportation is seeking an
Administrative Support Specialist that supports Ops leadership dedicated to SEPTA operation based in Philadelphia, PA. The Administrative Support Specialist will be the front-line contact for H2H Ops leadership team seeking administrative support to enhance operational results through data analysis measuring and sharing daily Key Performance Indicators (KPIs) on a daily, weekly, and monthly basis. The Administrative Support Specialist will support Ops leadership on several technology platforms. The associate will have the opportunity to learn and grow in a dynamic environment while providing exceptional service to our Ops leadership team and clients served. H2H is seeking a team player with strong administrative skills and thrives in an environment working and supporting others in a very collaborative manner to achieve high outcomes as one team.
PRINCIPLE DUTIES AND RESPONSIBILITIES
- Lead by example providing excellent customer service skills and exceed customers’ expectations.
- Provide technical assistance and support to Ops leadership.
- Ability to access platforms to run and analyze data and prepare necessary reports to Ops leadership.
- Ability to draft, plan, supervise and benchmark program activities.
- Respond promptly to Ops leadership inquiries through phone and email.
- Ability to manage day-to-day problems and to record and report observations of concern to Ops leadership.
- Ability to keep and maintain records with accuracy and completeness.
- ASS will be responsible for understanding SEPTA contract requirements and providing day-to-day support to Ops leadership.
- Ability to implement software platforms and coach other stakeholders on such.
- Provide technical assistance on Microsoft products such as Excel, flowcharts, and PowerPoint.
- On an as needed basis follow up with the client to address questions and/or provide feedback.
- Ensure proper recording, documentation, and closure of support issues.
- Recommend procedure modifications or improvements.
- Preserve and grow your knowledge of the SEPTA operation. A willingness to jump in and assist when additional support is needed.
- Accurately and efficiently process mail, following the department work instructions and guidelines to redirect items of importance to the corporate office when necessary.
- Escalate any/all feedback on items impacting service performance or customer service opportunities impacting clients externally, or our valued team members.
- If delegated by the General Manager, manage client inquiries, ensure proper investigation and timely resolution that is compliant with company standards.
- Ensure adherence to all departmental standards, policies, and procedures.
Other administrative duties as needed.
