Job Summary
JOB TITLE: Front Office Receptionist
GENERAL SUMMARY OF DUTIES: Responsible for greeting patients, answering telephones and scheduling and confirming appointments, patient registration and verifying patient insurance.
SUPERVISION RECEIVED: Reports to Office Manager.
SUPERVISION EXERCISED: None.
ESSENTIAL FUNCTIONS:
- Answer telephones in a pleasant manner. Record and distribute messages timely and in appropriate format.
- Greets customers in polite, prompt, helpful manner. Provides any necessary instructions/directions. Informs physicians and medical assistant of patient's arrival.
- Completes necessary paperwork such as encounter forms. Uses computer system to generate information necessary for billing, i.e. patient demographics, insurance information.
- Updates patient information and handles any necessary forms needing completion, obtains signatures as necessary. Copies picture identification and insurance cards for all patients.
- Collect patient co-payments at the time of service. Issue patient receipts for all monies collected. Accurately complete daily statistic sheets at the end of each session.
- Confirms all patient appointments for the next day. Records all patients that did not keep appointment on the cancellation log. Contacts all patients that missed appointments and reschedule for a future appointment.
- Maintains clean and orderly waiting area and restroom.
- Supplements office staff as reception tasks permit by assisting with photocopying, filing, sorting of medical records, etc.
- Performs other duties as assigned by Office Manager or Physicians.
The job holder must demonstrate current competencies applicable to job position.
EDUCATION: Minimum high school diploma.
EXPERIENCE: Minimum of one year experience in customer service setting, preferably six months receptionist experience in health care setting and experience with office equipment.
REQUIREMENTS: 50 wpm typing skill preferred.
KNOWLEDGE:
- Knowledge of reception tasks, clinic policies/procedures, paperwork.
- Knowledge of how to use office equipment including phone, computer.
- Knowledge of customer service concepts and techniques.
SKILLS:
- Skill in using office equipment satisfactorily and handling paperwork/filing adequately.
- Skill in customer service principles by creating a pleasant waiting room atmosphere.
ABILITIES:
- Ability to communicate clearly in person and on the phone and establish/maintain cooperative relationships with patients, families, physicians, staff and other customers.
- Ability to organize and prioritize tasks effectively.
- Ability to read, understand and follow oral written instructions. Can file correctly by alphabetic or numeric systems.
ENVIRONMENTAL/WORKING CONDITIONS:
Office setting, well-ventilated and well lighted.
PHYSICAL/MENTAL DEMANDS:
Sitting for 7-8 hours/day. Requires eye-hand coordination, finger dexterity. Vision must be corrected to 20/20 and hearing must be in normal range. Must be able to view computer screens for long periods. Occasional stress related to workload and customers with problems.
