Role Overview
The Project Coordinator will be in charge of assisting our Project Managers in administering and organizing all project documentation and costs for our Multifamily projects. The Project Coordinator will monitor compliance metrics for all construction projects, monitor budgets and expenditures, organize and participate in stakeholder meetings, and ensure that project deadlines are met in a timely manner.
To be successful as a Project Coordinator, you will need to be able to work on tight deadlines, be highly organized, work efficiently with attention to even the smallest of details, be competent in using Microsoft Office applications such as Word and Excel, and have exceptional verbal, written, and presentation skills. Ultimately, the Project Coordinator’s duties are to ensure that all projects are completed in compliance with the contract and the policies of THS, within budget and meet The Highest Standard.
Project Coordinator Responsibilities

Set up all new projects in Acumatica

Review contracts for pertinent information (i.e. billing instructions, liquidated damages, schedule of values, etc.).

Correspond with customers regarding billing, contracts status, change order status, etc.

Review original budgets and enter into Acumatica

Create Subcontracts in Acumatica for all major labor components of each project and ensure that they have been signed prior to work starting.

Track/Approve/Code job costs in Acumatica. Ensure bills match the subcontracts schedule of values. Ensure job costs are coded to the correct job, task id, cost code, etc. Request revised invoices from subs and suppliers as required. Track any returned materials for credits.

Generate Backcharges and Commitment Change Orders as necessary and ensure they are signed by subcontractors.

Document & Track Potential Change Orders to the Prime Contract

Document Approved Prime Contract Change Orders and ensure all items have corresponding Commitments for costs.

Document Time Extension Change Orders in order to avoid liquidated damages

Prepare invoices for customers based on percent complete and in accordance with contractual requirements and deadlines to ensure timely payment of invoices by our customers.

Assist with paying for orders for specialty material on occasion.

Facilitate regular cost budget update meetings to ensure project financials accurately reflect the expected costs to complete the project.

Ensure that all subcontractors are approved and/or in good standing with vendor compliance prior to start on a project/issuance of subcontract.

Facilitate weekly Job Status Meetings to review dates, billing status, overall financial performance of project, change orders, etc. Weekly preparation of the Job Status Report is required to conduct this meeting.

Assist with phone sale purchases.

Conduct monthly Close Out Reviews for all projects completed 60days prior. Preparation of Job Cost to Date Reports is required to conduct these meetings. During the meeting discuss/document lessons learned, review budget vs. actuals, and ensure that all cost Commitments are paid in full and closed out.

Assist in meeting the deadlines associated with the Finance Department monthly closing schedule

Requirements
Proven work experience as a Project Coordinator or similar role
Knowledge of construction terms and proper sequence of construction activities
Solid organizational skills, including multitasking and time-management
Strong client-facing and teamwork skills
Familiarity with risk management and quality assurance control
Hands- on experience with project management tools and accounting software/principles (I.e. Procore, Red Team, Acumatica, Quickbooks, etc.)
Supervision: This position is under the direct supervision of the Project Support Manager, depending on location.
