Position Summary:
The Patient Services Representative is responsible for greeting and responding to the needs of incoming clients and ongoing clients and families. The Patient Services Representative facilitates the flow of patient volume including patient check-in, check-out, scheduling appointments, and other administrative operations.
Essential Functions:

Coordinate communication with parents/guardians, clinical and administrative staff

Perform the daily operations of the clinic and Front Desk duties including: answering inbound calls, placement of outbound calls, monitoring of voicemail and emails, scheduling initial and continuing appointments ,following up on leads and service lists for scheduling to ensure maximum occupancy

Facilitate the check-in process including a warm greeting to the patient and their parents/guardians, collect necessary at the time of service fees including but not limited to copay, self pay, patient payments

Collaborate with all departments to assist families with concerns including invoicing, authorizations, documentation and timely follow through to ensure resolution

Collect all time-of-service fees due at the scheduled appointment time; including but not limited to copay, self-pay, patient payments, issue receipts, and complete necessary weekly deposit form for cash and check tracking

Maintain accurate and current clinician schedules for ongoing appointments as dictated by the clinician template and protocols

Distribute and post newsletters, brochures, and other printed materials to share information with clients and families

Ensure completion and accuracy of the intake processes including the collection of demographic information and necessary documents, insurance benefit verification, retrieval of appropriate paperwork

Take inventory and track necessary clinic supplies for ordering

Responsible for front desk and waiting room tidiness
Required Education, Experience and Credentials:
-
High school diploma or equivalent
-
One year of front desk administration experience in a medical office/healthcare setting

CPR certification required within 90 days of hire
Knowledge, Skills and Abilities:

Foundational understanding of healthcare operations and basic health insurance terminology

Excellent interpersonal and communication skills

Able to work effectively with all levels of the organization and in a diverse work group
